Some of this information can either be mapped in AutoCAD or Geographic Information System (GIS) <br />methods, both of which we have expertise in. <br />T ASK 4 – T RAFFIC D ATA C OLLECTION (IF REQUIRED): RJ Behar has in-house technological capabilities for <br />collecting all the necessary traffic data. We have our own traffic counters that can produce volume, speed, and vehicle <br />classification studies. We also own intersection turning movement collection devices and staff trained in its use. All the <br />necessary traffic data will be collected by RJ Behar’s Staff, which will make it a more efficient and economical project <br />component. PROJECT COORDINATION & COMMUNICATION <br />Coordination of a multi-member team requires regular attention. All matters related to the project will be coordinated with <br />the City’s Project Manager. We will try to minimize the City’s day-to-day involvement by keeping the City’s Project Manager <br />informed electronically (e-mail). Ms. Riveros will serve as our focal point of coordination and for providing timely responses <br />and prompt follow up. She will be the link with the project team. <br /> <br /> B ETWEEN RJ B EHAR AND THE C ITY OF S UNNY I SLES B EACH: As previously discussed, we will always keep <br />the City’s Project Manager well-informed of all issues and/or concerns. Recognizing that City’s Project Manager may be <br />managing numerous projects at any given time; therefore, we will try to accommodate his/her day-to-day involvement by <br />1) obtaining needed information ourselves, 2) maximizing electronic information transfer (e-mail), 3) conference calls, <br />and/or 4) prompt meeting minutes. We will schedule progress meetings as often as the City’s Project Manager desires. <br />A progress report will be provided on a monthly basis including required action items and who is to follow up. The City’s <br />Project Manager is the voice for the City and, therefore, we will coordinate with him/her prior to meeting with other entities. <br /> B ETWEEN RJ B EHAR AND U TILITY C OMPANIES/PERMITTING A GENCIES: RJ Behar will develop a distribution <br />list for each utility company and permitting agency. Meeting with the permitting agencies will be held as soon as the <br />concept is developed. Utility contacts will be made as soon as topographic features and right-of-way lines are plotted. <br />Ongoing coordination will be maintained with all of the agencies. It is important to note that we propose to have a kick- <br />off meeting at the beginning of the task with the City’s Project Manager and our key staff. This meeting will ensure that <br />the project gets started on the “right foot.” The scope, work plan, schedules, and understanding of the task should be <br />discussed and any major issues identified up-front. <br /> B ETWEEN RJ B EHAR AND P RIVATE S TAKEHOLDERS: RJ Behar will, through the City, coordinate with the private <br />stakeholders involved. We will organize public meetings, one-on-one meetings, conference calls and prepare <br />presentations. We will make ourselves available to provide the services that the City needs. On all public meetings we <br />will keep minutes or recordings as needed for documentation. <br /> C OMMUNICATION: RJ Behar recognizes the importance of communicating during the course of the project. As such, <br />regular in-house meetings will be held to ensure coordination and quality control. We will provide the City with minutes <br />of meetings within one week after the meeting is held, which will include minutes of meetings with all entities involved. <br /> C OMMUNICATION W ITH O THER C ITY C ONSULTANTS: RJ Behar will also coordinate with the other City <br />Consultants as needed, which may include surveyors and geotechnical engineers. <br /> PROJECT SCHEDULING METHODS <br />The Project Manager is the key to a successful project schedule; he/she is the “CEO” for the technical elements related to <br />the project. RJ Behar is completely familiar with the logic involved in scheduling projects. We utilize Microsoft Projects, <br />Primavera, and spreadsheets software for scheduling and managing our projects.
