Russo, City Manager <br />FROM: <br />Bill Evans, Assistant City Manager <br />DATE: <br />7/17/2014 <br />RE: Resolution Authorizing the City to Enter into Contract Negotiations <br />with AshBritt, Inc. to Provide Emergency Debris Clearing and <br />Removal Operations <br />RECOMMENDATION: <br />Staff recommends City Commission approve the Resolution <br />REASONS: <br />For emergency and hurricane preparedness, the City needs a stand -by contract <br />with a qualified contractor to aid in recovery efforts from a hurricane, other <br />natural disaster, or emergency purposes on an as- requested and as- needed <br />basis by the City. Since the current contract with AshBritt, Inc. expires this year, <br />the City processed Bid 14 -06 -02 "Emergency Debris Clearing and Removal <br />Operations "; a total of eight (8) responses were received. The Bid includes line <br />item unit prices for the various work tasks, equipment and assigments that can <br />reasonably be expected or needed in recovery efforts. For the purpose of <br />evaluating bid proposals only, quantities were estimated and are based upon an <br />average event. If the contract is activated, contract cost will be determined by <br />actual field measured quantities using the unit cost. <br />Of the respondents, AshBritt, Inc. was the lowest responsive responsible <br />proposer as well as being the lowest overall cost for a hypothetical event. <br />ATTACHMENTS: <br />• Resolution <br />• Unit Price Schedule <br />Agenda Item No. IOL <br />Date 7/17/2014 <br />476 <br />
