1 Project Approach <br />Project Understanding, Proposed Approach, and Methodology <br />Landscape Architectural services are quite unique in that each project lends itself to site specific conditions and approaches. <br />For example, a service request from the City for a one time, one purpose design concept, varies greatly from a request to <br />develop and design a roadway enhancement with construction documents and site observation services, to a design for a <br />custom bus shelter, to a request to bid out and administer the contracts for a complete park redevelopment. However, the <br />following general procedural steps and practices shall apply: <br />Scoping Meeting: Prior to starting a specific project with the City, CGA's Project Manager will meet with the City to determine <br />the specific requirements of the project, timeline, staffing needs, coordinating partners, chain of contact, deliverables, project <br />budget and what supporting elements, if any, the City may be providing. The Project Manager will then prepare an understanding <br />of scope, preliminary project timeline and budget to be confirmed by the City staff. Any adjustments due to circumstances such <br />as changing conditions or a change of the original scope, occurring throughout the duration of the project, will be reviewed with <br />the City and adjusted as necessary upon City approval. <br />Kick-off Meeting: Upon concurrence of the scope, timeline, and fees with the City, the Project Manager will meet with the full <br />project team to introduce the scope, the budget, the deliverables, the timeline, and each team member and/or partner's role and <br />responsibilities in the project. The Project Manager and the team will define the various elements of the project and describe <br />the quality control/quality assurance requirements at this meeting. The team will determine appropriate sequencing of work <br />and determine availability of each team participant and project partners. Project challenges and conflicts will be discussed and <br />identified at this meeting. A progress schedule will be established. <br />Progress Updates: Ongoing, the Project Manager will continually review the progress of the project to assure meeting the <br />project timeline and budget as approved by the City. The Project Manager will maintain close communication with each <br />- team member and any coordinating partner on the team and will periodically update the City PM of the project progress. As <br />scheduled, or requested by the City, the Project Manager will coordinate progress meetings and provide deliverables to the City. <br />l Communication: Management of long-term contracted services (such as Landscape Plan Reviews and Tree Removal Permits) <br />will require regular communication with City staff. Where applicable, we will also work closely with the City and ensure timely <br />and complete data input into the City's Work Authorization/Task Order tracking and processing software system to ensure <br />work-in- progress is tracked and documented, and work completion is documented and recorded as specified by the City's <br />L tracking system. <br />[i City of Sunny Isles Beach I RFQ #22-06-01 1 Continuing Services for Landscape Architectural Services CCNA 66 <br />
