• Coil cleaning and maintenance <br />• Duct cleaning <br />• Regular filter replacement <br />• HEPA filter replacement (as needed) <br />• Repair and replacement of parts and/or units. <br />3.4 HOURS OF WORK <br />The Contractor shall perform work Monday through Friday from 7:30 a.m. to 4:00 p.m., <br />unless specifically authorized or requested by the City to perform work at alternate <br />times. <br />3.5 RECORDS <br />The Contractor shall be responsible for providing detailed service reports following each <br />scheduled maintenance visit and any emergency service calls. These reports are <br />essential for tracking the condition and performance of HVAC systems and ensuring <br />accountability and transparency in service delivery. <br />Each report must include, at a minimum: <br />• Date and time of service <br />• Location of service (specific facility and unit) <br />• Technician(s) performing the work <br />• Description of services performed <br />• Checklist of inspected components <br />• Noted deficiencies or issues, including photos if applicable <br />• Corrective actions taken or recommended <br />• Parts replaced (including serial numbers and warranty information, if applicable) <br />• Operating data recorded (e.g., temperatures, pressures, amperage) <br />• Recommendations for future maintenance or repairs <br />Reports must be submitted electronically to the City's designated representative <br />within 48 hours of service completion. The City reserves the right to request additional <br />documentation or clarification as needed. <br />
