Section III: Fleet Management Application <br /> 3.1 Situation <br /> The City of Sunny Isles Beach maintains an extensive fleet of vehicles required by city employees and <br /> agencies to properly conduct business and provide services to their community.The city employs a <br /> number of staff to oversee the management and servicing of city vehicles to ensure that vehicles are <br /> properly allocated and maintained,and that all usage and expenses are properly accounted for with <br /> proper documentation. Throughout the year,several reports are generated to properly track the <br /> individual expenditures of the vehicles in the fleet and identify any specific areas of concern,including <br /> aging unreliable vehicle identification and misuse. <br /> Currently, documentation involving vehicle information, purchase price, mileage logs,fuel card charges, <br /> and general maintenance and repair is handled through an existing system that is cumbersome and <br /> lacks reporting functionality.Aeon Nexus is recommending Dynamics CRM Online 2015 as the best <br /> platform for quickly constructing a citywide fleet management application to replace their current <br /> system.The new system will allow users to track individual fleet vehicles and all associated mileage, <br /> fuel, maintenance,and repair costs in an intuitive online system. Data will be quickly entered into the <br /> system based upon how users are most capable of receiving data and with work flows that facilitate <br /> quick and easy association of individual pieces of information with the proper fleet vehicle.The system <br /> will then be able to generate all existing reports automatically,while also allowing management staff to <br /> quickly identify new trends and potentially fraudulent activities. <br /> In an effort to enhance knowledge transfer, our team will work to build the system in a classroom <br /> environment with actual user participation leading the design.The solution will exemplify the RAD <br /> capabilities of the Dynamics CRM platform and looks to deliver a completed solution,and well-trained <br /> city staff, in a short term engagement <br /> 3.2 Approach <br /> As with any technical engagement, a methodical approach to addressing the City of Sunny Isles Beach's <br /> needs is still necessary.
