RFQ No. 15-08-02 <br />Construction Management at Risk for Government Center Annex at 18080 Collins Avenue 13 <br />The project site staff keeps and maintains all permit records and ‘as‐built’ drawings <br />which are reviewed as needed and updated weekly by each subcontractor. These <br />“final” as-built plans are then copied appropriately and included as part of the closeout <br />documents turned over the City. By requiring all trades to work from our form/ <br />procedure, we are able to maintain an efficient and organized approach to tracking <br />which trades have submitted the necessary documents and those who have not. This <br />aids in avoiding time being wasted due to interpreting and sorting through each <br />individual subcontractors’ own format in order to pull out the necessary information. <br />The Kaufman Lynn Construction closeout process would include the following <br />correspondence at minimum: <br />1. Approved shop drawings, submittals and samples <br />2. Commissioning reports and final approvals <br />3. Material and equipment warranties <br />4. Product maintenance and operations manuals <br />5. As-Built plans <br />6. Owner training acknowledgement letters <br />7. Permits, Certificates of Completion <br />8. Complete project directory <br />Finally, by requiring standard templates to work from, subcontractors are familiar <br />with the procedure, have been educated accordingly, and know what to anticipate at <br />projects close in order to be paid in full. <br />wE stand bEhind our work with warranty PEriod sErviCEs <br />Upon project completion, and following issuance of the Certificate of Substantial Completion which is also included within our <br />close‐out documents, we confirm who at the project will be interfacing with us for any concerns during the warranty period. Also <br />provided are Kaufman Lynn Construction warranty notification forms which will be forwarded by your facility manager to our <br />attention for all warranty events. Initially we will handle appropriate calls to subcontractors and manufacturer’s until such time the <br />facilities manager has a comfort level with the process. Warranty notification forms remain “open” until required corrective work is <br />completed and approved by the facility manager at which time the notification is closed and retained for historic records without <br />our Warranty Booklet. <br />At the close of the warranty period, Kaufman Lynn Construction will schedule with the City and the design team a “warranty end <br />walk‐through” inspection of the facility. The goal of this walk‐through is to identify any issues that may need correcting, create a <br />Final Warranty Notification Form, and bring a successful close to the warranty period. <br />This “blanket warranty coverage” is second to none in the construction industry and provides the City with an assurance that every <br />penny expended on the project was indeed well spent. <br />Project Approach & Understanding <br />Section D <br />We videotape all meetings and <br />demostrations for archiving and future <br />use for their staff and new maintenance <br />personnel.
