• <br /> Application for Funding Assistance <br /> Florida Department of Law Enforcement <br /> Justice Assistance Grant - County-wide <br /> ?�r ++ ,< .- , <br /> fi X1.4 �P - ._kl --ti t4:� . - - T X <br /> • <br /> General Project Information <br /> Project Title: ELECTRONIC CASE FILES FOR DETECTIVES <br /> Subgrant Recipient: City of Sunny Isles Beach <br /> Implementing Agency: Sunny Isles Beach Police Department <br /> Project Start Date: 10/1/2015 End Date: 9/30/2016 <br /> Problem Identification <br /> The Sunny Isles Beach Police Department has been committed to upgrading antiquated methods <br /> of records keeping.An example of the Police Departments commitment to records improvement is <br /> • grant funds acquired from a previous JAG Grant has allowed us to purchase electronic document <br /> scanners. These scanners have enhanced our ability to house documents electronically. Currently <br /> investigators with the Sunny Isles Beach Police Department and Special Enforcement Unit <br /> compile case files in folders and maintain the records in filing cabinets at the Detective Bureau <br /> Office. While detectives are on follow-up investigations or at court it is routine that additional case <br /> files need to be accessed remotely. Currently the only solution is to contact the Sunny Isles Beach <br /> Police Records Department and have a clerk email the desired documents to the investigator. The <br /> limitation to this method is the records departments hours of operation are Monday-Friday 8:00 <br /> am-4:30 pm. Often an investigators work hours extend past the records departments hours of <br /> operation. <br /> • <br /> Project Summary (Scope of Work) <br /> By utilizing grant funds it would allow the Police Department to purchase (6)computer tablets. The <br /> computer tablets have the ability to scan and sort documents into individual files that can be <br /> accessed anywhere. Case files assembled by investigators can be scanned to the computer <br /> tablets and designated by case number. The case files then would accompany the investigator <br /> throughout their day allowing access to their entire library of files anywhere. The grant would allow <br /> the purchase of 6 tablets, one for each detective. <br /> The process that's used to document purchases is, a requisition is put into our finance computer <br /> system. Once the requisition is established and approved an authorization is given for a purchase <br /> order. Once the PO is obtained the item is purchased. Once we received the item the receipts and <br /> invoices are saved and the item is issued to the user. <br /> The items will be purchased via competitive bid. <br /> This project requests federal grant funding for a law enforcement or criminal justice technology <br /> related project and may be subject to review and approval by the State Information Technology <br /> (IT)Point of Contact. By utilizing funds for this project, the subrecipient and implementing agency <br /> agree to conform to all state and national standards for technology and information sharing <br /> systems that connect to, and/or interface with state and national systems, and/or reside on the <br /> state Criminal Justice Network(CJNet).
