Paramount to the success of any project is a
continued partnering throughout the project to adapt as necessary to unforeseen circumstances. We will
• include critical decision making points in our work plans so that the project team and the City can agree upon
• the best course of action to keep projects on track. We know there will always be unexpected challenges that
are distinct to any given project, so it is critical to develop and follow an approach that can be controlled while
® building in mechanisms for managing the unexpected.
•
Equally important is project communication with key stakeholders. KHA will prepare a project-specific
• program to identify opportunities for stakeholders to participate in a project's development. Approaches to
• encourage stakeholder participation include public meetings, a project website, open houses, newsletters,
• news releases, and weekly project status reports. We will proactively solicit stakeholder participation and
8 respond to their input. At Kimley-Horn, we believe that broad participation is attainable through a plan that is
proactive, impartial, understandable, visually informative, and thorough.
•
• Ability to Meet Desired Timelines and Deadlines
• Kimley-Horn is committed to providing the City of Sunny Isles Beach with the highest quality staff and service
• to meet your project schedule and budget requirements. Meeting your schedule for deliverables is not just a
• goal to us—it is a mandate.
• To assist our project managers in efficient administration of projects, Kimley-
• Horn maintains a detailed, integrated management information system (MIS). Meeting your!
This system, designed primarily to focus on schedule adherence and cost scheduleQ7lj .
® control, has proven to be a valuable tool. Schedule control begins with the deliverables&mice .}
• preparation of a detailed schedule that includes milestone completion dates ftifeQgoal r=;
for specific tasks and the overall project. We will develop for this project, as QiiMmandate. '
we do for every project we undertake, a work plan that allocates person-hour
• commitments by individual for each task. The MIS generates a Project Effort
• Report twice each month showing the effort that has been expended for each task. This internal control allows
® us to make, on a timely basis, any adjustments that may be necessary to maintain your schedule and stay
within your budget.
O
® Kimley-Horn also uses a proprietary program and workload forecasting technique called "cast-aheads"
which is our primary means of tracking and evaluating our staffing needs and availability for a particular
• contract. Updated monthly by project managers, the cast-ahead system is used to define specific staffing
• needs for the next month and for the next six months. All project managers reserve staff or request specific
e personnel to work on their projects for a certain number of weeks of the month. The combined input from
all project managers is compiled and distributed in the form of a report to all project managers and regional
• management for review and discussion at the monthly cast-ahead meeting. Work overloads and/or shortfalls
• for specific personnel, individual offices, and disciplines are tabulated and addressed at the meeting. Where
• possible, any imbalances are resolved through internal shifts of personnel between offices. The objective is
to balance the workload in a manner that maximizes the utilization of production staff, while ensuring that all
• project requirements and client deadlines are met. This system ensures that the right people are working on
• your project when they need to be in order to complete the project within your schedule.
S
•
o RFO No.12-04-02 '• Kimley-Horn
0Y300014.12o Sunny Isles A&E Services.indd ®1M 1 and Associates,Inc.
• 4-4
