The School District of lee County, Florida - RFP # 6211
Document Imaging System

August 5, 2004

After scanning and indexing, a quality control process evaluates all records processed This event is
another opportunity for the user to practice quality management Images that need to be rescanned can
be noted In a Sticky Note on the image Production scanner users can search for rescans noted in the
Sticky Notes; hard copy is rescanned to acceptable quality standards.

In the LaserFiche DIMS, single pages can be deleted from multi page files. After which, these pages
could be rescanned to desired quality

Quality management IS also a function of user training for scan production personnel, documentation of
required quality control practices, and management of established quality control practices. System
administrators and departmental managers are trained in methods of system, record, and production
quality management; quality management is stressed to these system users.

Size limitations: Generally, speaking, there are no discovered limitations for document page, file,
document, folder, and cabinet size R&S users have managed documents with over 20,000 pages in one
record, managed database tables with over 15GB of meta or field data, and managed systems with over
6,000,000 records Folders and subfolders can be nested up to 850 levels Each folder will display up to
10,000 records In the LaserFiche 'Browser'. Documents and folders can be named with up to 31
characters

Index limitations: The index template can have up to 32 different fields; the fields can store data values
up to 256 characters The 'Edit List' or 'Pick list' (drop down list for fields) can have up to 10,000
characters in the list

Maximum Documents: The LaserFiche DIMS can manage up to 100,000,000,000 records.

R&S' Document Shuttle: Document Shuttle IS an Integration software utility developed by R&S
Integrated. It IS the primary tool that IS used to integrate and Interface the DIMS with other software
applications and systems, such as SDLe's Legacy student record application. R&S 'Document Shuttle'
will automatically build or populate the LaserFiche DIMS The LaserFiche template can be populated with
record indexes from existing systems or process data (with delimited or fixed length files, ASCII, output
from data capture and existing systems, and/or ODBC tables) Records are named automatically with
index and preset values; folders and subfolders are created automatically. Document Shuttle will process
'file' documents to the appropriate folder/subfolder during Import from existing systems. When scanning
records, the user would simply open the created record and scan the pages to the file Existing meta data
(record or file indexes) are processed to LaserFiche USing Document Shuttle, documents can be created
with record indexes, files are named, folders/subfolders are created, and new records can be placed in
eXisting folders and subfolders

R&S Integrated Products and Services.
