Vera, Assistant City Manager/Services ,~ <br />Rick Conner, Engineering & Public Works Director U <br /> <br />February 21, 2008 <br /> <br />Approval of Contract with Lukes-Sawgrass Landscaping for Unit Price <br />Landscaping Services in an amount not to exceed $500,000 <br /> <br />RECOMMENDATION: <br /> <br />We recommend that the City Commission approve authorize a contract with Lukes-Sawgrass <br />Landscaping to provide landscaping services for the unit prices in their bid in an amount not <br />to exceed $500,000. Our recommendation to the Commission at the last meeting was to <br />have them provide services in an amount not to exceed $479,000, but there will be a <br />transition period before we will have all of our complementary staff on board, so we are <br />asking for a buffer to accommodate the crossover. Because we developed the bids entirely <br />to the City's benefit, we can order as much or as little of specific services from the contractor <br />as we need, and if we can accomplish more in-house than expected, we will simply ask the <br />contractor for less, saving the City even more money. <br /> <br />REASONS: <br /> <br />As explained at the last Commission Meeting, this will allow us the maximum control and <br />flexibility at the minimum cost and provide truly excellent service to the community. We are <br />asking the Commission to award the work to Lukes-Sawgrass Landscaping even though their <br />bid for the appropriate items is approximately $19,000 more than Superior Landscaping. As <br />you will remember, we specifically asked the Commission for permission to approach this bid <br />as a "Best Value" bid. We consider the lower bidder, Superior Landscaping as a significant <br />unknown. An item of concern is that Superior will be bringing people from other cities that <br />they have contracts with to use here, and we are concerned about what happens when they <br />get another city?
