Russo, City Manager <br /> FROM: Susan Simpson, Cultural and Community Services <br /> Director <br /> DATE: 9/15/2016 <br /> Awarding Bid No. 16-08-01 to and Authorizing the City <br /> Manager to Enter into an Agreement with Elite Tent for <br /> Event Related Equipment Rental in an Amount Not to <br /> RE' Exceed $150,000.00 and Enter into an Agreement with <br /> Sunbelt Rentals in an Amount Not to Exceed $40,000.00 <br /> for an Initial Two Year Term <br /> RECOMMENDATION: <br /> This resolution is submitted for your consideration. <br /> REASONS: <br /> The City hosts several events per year that require the rental of tents, <br /> tables, chairs and other miscellaneous event rental equipment. Through <br /> Bid No. 16-08-01, only 2 bids were received. Both Elite Tent Company <br /> and Sunbelt Rentals are both qualified, willing and able to provide the <br /> desired services. As each company provides different rental <br /> equipment, the City wishes to enter into an agreement with both for the <br /> items specific to each company to secure the bid pricing for all <br /> equipment. <br /> Based on the events planned for fiscal year 2016-2017 and historical <br /> use, we propose to enter into an agreement with Elite Tent for an initial <br /> 2 year term in the amount not to exceed $150,000.00, with 3 options to <br /> renew annually after the initial term for a total agreement term of 5 <br /> 594 <br />
