<br />Design Development <br /> <br />At this stage, the team identifies the major project com- <br />ponents and systems. This will include those that have a <br />direct impact on LEED certification if applicable. We work <br />collaboratively and with comparative studies, present design <br />alternatives in 2D and 3D for the client's evaluation and <br />conduct several presentation meetings and final submittal <br />review meeting with the client. <br /> <br />Construction Documents <br /> <br />Once approved by the City of Sunny Isles Beach, we pro- <br />ceed with the preparation of construction documents and <br />specifications. Normally this phase is broken in 50% and <br />100% Submittals. Although, per client's request it can also <br />be broken-down further. At each one of the milestones, we <br />submit complete sets of plans and specifications and conduct <br />a review meeting with the owner's representative and main <br />users to convey and explain the project details so that the <br />main stakeholders are informed. Any comment resulting from <br />this and other owner's review are incorporated immediately <br />into the final work product for construction. A key element to <br />this phase is to achieve a thorough coordination between all <br />the disciplines. BEA performs regular coordination meetings <br />with the engineers and requires follow up meetings to ensure <br />that the revisions have been incorporated. <br /> <br />Bid Process <br /> <br />If the project is delivered as hard-bid, we assist the client <br />through the process preparing the bid package, tabulating <br />bids and responding to questions from prospective bidders <br />as well as attending the pre-bid conference. If the delivery <br />process is CM-at-Risk, we participate in the negotiating pro- <br />cess and assist the client as required, in addition to providing <br />responses to questions that the CM might have. <br /> <br />Permitting <br /> <br />BEA tracks permitting on a daily basis and updates a permit <br />schedule for each project which is sent to the city's Project <br />manager to keep him/her informed of the permit status. <br />BEA has extensive working relationships with the regulatory <br />agencies including but not limited to: Building and Zoning, <br />Fire Marshal's Office, DERM, WASA, HRS and DEP. We <br />are proactive and keep the agencies informed conducting <br />meetings prior to permit submittal (Dry-Run) in order to pick <br />up comments PRIOR to seeking the Building Permit. <br /> <br />TechnicalApPnlach . <br /> <br /> <br /> <br />architects <br /> <br />~ <br />, <br /> <br /> <br /> <br />Construction Administration Services, review of con. <br />tractor's submittal and Close.out Documents. <br /> <br />Our team works closely with the contractor during the <br />construction period, being sensitive to their time constrains <br />and review needs for shop drawings as well as other sub- <br />mittals. We participate in the weekly construction meetings, <br />preparing minutes, leading and coordinating the efforts and <br />maintaining a pro-active stance until project delivery. We <br />conduct meetings on a bi-weekly basis specifically to ad- <br />dress submittals that are forthcoming and those that require <br />immediate response. BEA has senior representation in these <br />meetings with the project manager and project director when <br />the need arises in addition to support staff. We require that <br />our engineers and consultants to be regularly present in the <br />construction meetings and site observation meetings to keep <br />up to date of events and respond accordingly. Close-out doc- <br />uments are reviewed by our QA/QC team for compliance with <br />project specifications. We request the contractor to submit a <br />preliminary set of c1ose-out documents at approximately 90% <br />project completion, so that we provide a cursory review with <br />comments, that when adopted, will facilitate and expedite <br />the final approval ofthe final documents. If contracted for this <br />service, BEA will prepare an updated set of as-built plans in <br />CAD. The process of updating plans to show built conditions <br />is performed by our architects and engineers completed as <br />construction progresses rather than at the end of the project. <br />In this way, not only are we able to finish the as-built more <br />rapidly, but also assure that built conditions are documented <br />soon after the work has been completed making it easier to <br />address any questions. <br /> <br />RFQ #10-04-02 Professional Architectural Services I 5 <br />
