<br />I. <br /> <br />City of Sunny Isles Beach <br />18070 Collins A venue <br />Sunny Isles Beach, Florida 33160 <br /> <br />Mandatory Pre-Bid Conference Summary Minutes <br />Monday, December 1, 2008 at 2:00 p.m. <br /> <br />Bid No. 08-10-01, SR AlA/Collins Avenue Streetscape Improvements <br /> <br />City Clerk Jane Hines opened the Pre-Bid Conference. Bill Evans, Assistant Public Works Director, <br />welcomed everyone and noted that this is a quick turnaround and to get any questions in right away. <br />He introduced Kathy O'Leary Richards of O'Leary Richards Design Associates, Inc., Landscape <br />Architecture. She noted that there is a sign-in sheet going around and to be sure to sign it as this is a <br />mandatory pre-bid conference. Whoever has not picked up plans yet, can pick them up tomorrow <br />after 12:00 p.m. from the City Clerk's Office. <br /> <br />Deadline for submission of bid documents is Monday, December 8, 2008 at 11:30 a.m. at which <br />time those sealed bids will be publicly opened. Any additional questions are required to be in <br />writing and may be submitted up to four (4) days before the bid opening (at the close of business, <br />Thursday, December 4, 2008), which will be answered and forwarded to all oftoday's participants. <br />You may email themtoRickConner.PublicWorksDirector.atrconner@sibfl.net <br /> <br />Ms. O'Leary Richards introduced the Project Team: Christopher Cawley, Landscape Architect, with <br />O'Leary Richards Design, Inc., and Ramon Tesone, Civil Engineer, with Alvarez Engineers, Inc. <br />She noted that this project is State Road AlA Collins Avenue from 187th Street to the William <br />Lehman Causeway. It is a streetscape project and includes the installation of new paver sidewalks, <br />roadway lighting which is going to replace the existing cobra heads, landscape lighting, electrical <br />work and irrigation. The project is on the west side of Collins A venue in front of the retention areas <br />between 187th Street and William Lehman Causeway. We are also enhancing the landscape at the <br />intersection of Sunny Isles Boulevard and Collins A venue in the retention area, as well as in the <br />medians at that intersection. <br /> <br />This is a unit price bid and the bid award will be based on the bid price, as well as the capacity and <br />skill ability of the bidder to perform the work. On page 66 of the Bid Documents there is <br />information regarding Liquidated Damages as well as an Incentive Bonus that the Contractors should <br />review. There is a one and a half (1~) year warranty date from final acceptance. This is a FOOT <br />project located within an FOOT right-of-way, and we are in the process of obtaining a permit from <br />FOOT. These technical specs as well as the FOOT Design Standards, dated January 2008, and <br />FOOT Standard Specifications dated 2007 as amended by contract documents, shall be treated as <br />though incorporated herein. <br /> <br />The Contractor is to refer to the 2009 FOOT Basis of Estimates Handbook for the standard method <br /> <br />SASQ961127 <br /> <br />Page 2 of 7 <br />
