Meeting can eliminate many issues on a project. Our team has conducted and been part of many Pre-
Construction Meetings, and we will bring that experience to these projects as well. We will invite all
interested parties, including permit agencies, to the Pre-Construction Meeting and review their
expectations as well.

Local residents will be impacted by construction operations. However, these impacts can be minimized by
providing good communication with the community. Prior to the commencement of construction
activities, our team will reach out to the local residents and businesses in order to provide them with
contact information and give them an opportunity to voice their concerns. Providing them with
information on current and future operations, as well as durations for these operations, will greatly
enhance the relationship between the City and its residents. The community outreach effort is described in
more detail in the Public Outreach section.

Once the project is underway, regular progress meetings with the City, Engineer, and Contractor will help
the team coordinate, learn the project status and issues, and communicate regarding any questions or
concerns that have arisen. These progress meetings will occur periodically, and the frequency will be
determined based on the activity. It is expected that weekly meetings will be held during the summer
construction season. We will prepare agendas for the progress meetings and take minutes at the meetings.

Erdman Anthony has invested in Newforma software to make communication among our team members
easier to accomplish, manage, track, and report. This software creates a powerful, productive environment
for project managers and their project teams, enabling us to easily organize project information, exchange
large amounts of information with internal and external project team members, and run project processes
more efficiently. It integrates information from multiple sources, such as CAD, Microsoft Office, PDF files,
and email, enabling users to search, compare, review, mark up, transfer, and use information more
effectively. We have found it to be a valuable tool that has improved productivity and accuracy and
reduced the time necessary to complete tasks.

Erdman Anthony can assist the City in hosting web-based meetings if needed to help the project address a
matter quickly and efficiently. A web-based meeting allows team members, including the City, Contractor,
Engineer, CEI, and permit agency, to view the same documents and view any attendee’s screen with
permission so that a plan, photo, or specification can be reviewed by all without having to schedule an in-
person meeting.

Public Outreach
We understand the importance of community involvement and the necessity of working with the public
and the agencies in a hands-on cooperative manner to build consensus and receive subsequent approval of
these important projects. Effective public engagement and stakeholder support is critical for funding and
delivering successful projects. An early and proactive public involvement effort will provide the City of
Sunny Isles Beach residents ample opportunity to engage in the process as well as provide the time
necessary to educate the public about the impacts undergrounding utilities will have on their properties.
Support for this project by residents is critical to achieve success and ease future negotiations with
landowners affected by the project.

Undergrounding utilities efficiently will be of paramount importance for the City to improve utility service
reliability and enhance the quality of life for its residents. Our team stands ready to support the City’s
