A RESOLUTION OF THE CITY COMMISSION OF THE CITY
OF SUNNY ISLES BEACH, FLORIDA, AUTHORIZING THE
PURCHASE OF ADDITIONAL PROFESSIONAL AND
SOFTWARE SERVICES FROM INFORMATION
CONSULTANTS, INC. FOR FISCAL YEAR 2012-2013, IN AN
AMOUNT NOT TO EXCEED FIFTY THOUSAND DOLLARS
($50,000.00); AUTHORIZING THE CITY MANAGER TO DO
ALL THINGS NECESSARY TO EFFECTUATE THIS
RESOLUTION; PROVIDING FOR AN EFFECTIVE DATE.
WHEREAS, on October 11, 2005 via Resolution No. 2005-844 the City Commission
approved the purchase of Laserfiche Software as our document imaging software for storage and
retrieval of archival records; and
WHEREAS, the Laserfiche software is in need of necessary upgrades and annual
maintenance; and
WHEREAS, the City, in an effort to provide efficient online services, would like to
provide certain documents online for public access; and
WHEREAS, Laserfiche offers the ability to provide documents online via Laserfiche
Weblink; and
WHEREAS, Information Consultants, Inc. is our registered Value Authorized Reseller
(VAR) for Laserfiche software and currently provides the City with technical support; and
WHEREAS, the City is now requesting purchase authority in an amount not to exceed
Fifty Thousand Dollars ($50,000.00) in order to purchase additional professional and software
services from Information Consultants, Inc.
NOW THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE
CITY OF SUNNY ISLES BEACH, FLORIDA, AS FOLLOWS:
Section 1. Authorize the Purchase. The City Commission hereby authorizes the purchase of
additional professional and software services from Information Consultants, Inc., in an amount
not to exceed Fifty Thousand Dollars ($50,000.00).
Section 2. Authorization of City Manager. The City Manager is hereby authorized to do all
things necessary to effectuate this Resolution.
Section 3. Effective Date. This Resolution will become effective upon adoption.

MEMORANDUM

RE: Approval for Information Consultants Purchase Authority not to
exceed $50,000.00 for FY 2012-2013
RECOMMENDATION:
It is recommended that the City Commission approve the attached resolution
granting purchase authority for INFORMATION CONSULTANTS, in an amount
not to exceed $50,000 for FY 2012-2013.
REASONS:
This vendor supports the City with document imaging software and professional
services. The City utilizes Laserfiche for its document imaging system, and
INFORMATION CONSULTANTS is our registered VAR for Laserfiche. Being our
registered VAR, per Laserfiche Corporate Policy, all software licensing and
maintenance can only be purchased through INFORMATION CONSULTANTS.
For the Fiscal Year 2012-2013, staff is requesting purchase authority of $50,000
which covers the annual maintenance for Laserfiche, a necessary upgrade to a
new product & licensing model (Laserfiche Rio), the Laserfiche WebLink
licensing required to implement the public portal on the City's web site, and
professional services to assist City Departments in transtitioning to electronic
document storage.

The City originally purchased the Laserfiche document imaging platform in
Agenda Item No.IOM

Funding is available in account numbers 10.559-5643 and 10.516-5313.
