Home My WebLink AboutReso 2014-2216RESOLUTION NO. 2014 -�Zk 1 le, A RESOLUTION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA, APPROVING THE PURCHASE OF EIGHT (8) NEW COPIER/ SCANNER/PRINTERS FROM TOSHIBA BUSINESS SOLUTIONS FOR THE GOVERNMENT CENTER, THE POLICE DEPARTMENT, AND PELICAN COMMUNITY PARK, IN AN AMOUNT NOT TO EXCEED FORTY -FIVE THOUSAND SIX HUNDRED SEVENTY -ONE DOLLARS ($45,671.00), PLUS ADDITIONAL PER -COPY CHARGES OF THIRTY THOUSAND DOLLARS ($30,000.00) ANNUALLY, UTILIZING THE STATE OF FLORIDA CONTRACT NO. 600 - 000 -11 -1; AUTHORIZING THE CITY MANAGER TO DO ALL THINGS NECESSARY TO EFFECTUATE THIS RESOLUTION; PROVIDING FOR AN EFFECTIVE DATE. WHEREAS, the City is in need of replacing five (5) copiers in the Government Center, one (1) in the Police Department, and two (2) at Pelican Community Park: and WHEREAS, staff determined that the Toshiba copiers have the appropriate copying /printing /scanning capabilities to meet the expanded copying /printing /scanning needs; and WHEREAS, the City now wishes to purchase eight (8) Toshiba digital copiers to replace the outdated copiers in the Government Center, the Police Department, and at Pelican Community Park, in an amount not to exceed Forty -Five Thousand Six Hundred Seventy -One Dollars ($45,671.00), plus additional per -copy charges of Thirty Thousand Dollars ($30,000.00) annually, attached hereto as Exhibit "A ", utilizing the same terms and conditions as the State of Florida Contract No. 600 - 000 -11 -1. NOW THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA, AS FOLLOWS: Section 1. Approve Purchase of Eight 8 New Digital Copiers. The City Commission hereby approves the purchase of eight (8) new digital copiers from Toshiba Business Solution for the Government Center, the Police Department, and at Pelican Community Park, in an amount not to exceed Forty -Five Thousand Six Hundred Seventy -One Dollars ($45,671.00), plus additional per -copy charges of Thirty Thousand Dollars ($30,000.00) annually, attached hereto as Exhibit "A ". Section 2. Authorization of CityManager. The City Manager is hereby authorized to do all things necessary to effectuate this Resolution. Section 3. Effective Date. Arias, Chief Information Officer 3/20/2014 Approval for purchase of additional TOSHIBA copiers, for Government Center, Pelican Community Park, and Police Department RECOMMENDATION: It is recommended that the City Commission approve the attached resolution granting purchase authority and approval for purchase of copiers from Toshiba Business Solutions Florida, for a cost of $45,671.00, plus additional per -copy charges as indicated in the proposal, at an estimated amount of $30,000.00 annually. REASONS: The City is in need of replacing 5 copiers in the Government Center, 1 in the Police Department, and 2 at Pelican Community Park. The total base cost for the new copiers will be $45,671.00, with usage and maintenance billed separately. The estimated usage per fiscal year is approximately $30,000.00. ADDITIONAL INFORMATION: The City currently has an existing lease, approved under resolution 2010 -1641. The current annual expense for these existing machines is approximately $36,000.00 including all usage charges.
