Home My WebLink AboutReso 2022-3298RESOLUTION NO. 2022 -JZ 1, A RESOLUTION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA, APPROVING THE EXPENDITURE OF BUDGETED FUNDS WITH TOSHIBA BUSINESS SOLUTIONS FOR A FOUR-YEAR LEASE OF THREE (4) COPIERS, IN AN AMOUNT NOT TO EXCEED FIFTY-NINE THOUSAND FOUR HUNDRED TWENTY-FOUR DOLLARS ($59,424.00) ATTACHED HERETO AS EXHIBIT "A"; AUTHORIZING THE CITY MANAGER EXECUTE SAID LEASE AGREEMENT AND TO DO ALL THINGS NECESSARY TO EFFECTUATE THE TERMS OF THIS RESOLUTION; PROVIDING FOR AN EFFECTIVE DATE. WHEREAS, the City is in need of replacing three (3) copiers in the Government Center, and one (1) at the Pelican Community Park; and WHEREAS, staff researched and determined that the Toshiba copiers have the appropriate copying, printing, and scanning capabilities to meet the expanded copying/printing/scanning needs; and WHEREAS, the City now wishes to approve the expenditure of budgeted funds with Toshiba Business Solutions Florida for a four (4) year lease of four (4) copiers to replace the outdated copiers in the Government Center and the Pelican Community Park, in an amount not to exceed Fifty -Nine Thousand Four Hundred Twenty -Four Dollars ($59,424.00), attached hereto as Exhibit "A". NOW, THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA, AS FOLLOWS: Section 1. Approval of Expenditure of Budgeted Funds. The City Commission hereby approves the expenditure of budgeted funds with Toshiba Business Solutions Florida for a four (4) year lease of four (4) copiers to replace the outdated copiers in the Government Center and the Pelican Community Park, in an amount not to exceed Fifty -Nine Thousand Four Hundred Twenty -Four Dollars ($59,424.00), attached hereto as Exhibit "A". Section 2. Authorization of City Manager. The City Manager is hereby authorized to execute said Lease Agreement and to do all things necessary to effectuate the terms of this Resolution. Section 3. REASONS: The City is in need of replacing 3 copiers at Government Center (313, 46, PCP1), as the current lease wi expire this month. A fourth copier, which is located at PCP (ToshPCP2) and has been owned by the Citi since 2014, is also in need of replacement and will be added to this lease. The proposed lease agreement is for a 48 -month term in an amount not to exceed $59,424.00. ADDITIONAL INFORMATION: The 3 copiers at Government Center were leased per Resolution 2019-2904 for a 36 month period. Other copiers currently leased have been previously approved per Resolutions 2020-3089, 2021-3202, and 2021-3236. Also, there are still 7 machines in use that were previously purchased per Resolutions 2013-2062 and 2014-2216. One of these machines, purchased per Resolution 2014-2216, will be replaced with a new leased machine with this proposed agreement. The new Toshiba quotes include an additional discount from the Government Contract prices. FUNDING SOURCE: Funds have been appropriated in Information Technology Department's budget.
