Home My WebLink AboutReso 2025-3834RESOLUTION NO. 2025 - A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA; AUTHORIZING THE EXPENDITURE OF BUDGETED FUNDS FOR THE PURCHASE OF FOUR (4) VEHICLES FROM ALAN JAY FLEET SALES, IN AN AMOUNT NOT TO EXCEED TWO HUNDRED THOUSAND DOLLARS AND NO CENTS ($200,000.00); AUTHORIZING THE CITY MANAGER TO DO ALL THINGS NECESSARY TO EFFECTUATE THIS RESOLUTION; PROVIDING FOR AN EFFECTIVE DATE. WHEREAS, on September 12th, 2024, via Ordinance No. 2024-618, the City Commission of the City of Sunny Isles Beach (the "City") adopted the Operating and Capital Improvement Budget for the Fiscal Year Commencing October 1, 2024, through September 30, 2025 ("Adopted Budget"); and WHEREAS, City's Public Work's Department is in need of purchasing three (3) 2025 Ford F150's and one (1) 2025 Ford Ranger (the "Vehicles") to transport all necessary tools and equipment needed for various City projects for the continued improvement of the City; and WHEREAS, pursuant to Section 62-13(C) of the City's Purchasing Code, purchases made under state general service administration contracts, federal, county or other governmental contracts or competitive bids with other governmental agencies, are exempt from the competitive bidding requirements set forth in Chapter 62; and WHEREAS, City staff has been able to secure the Van from Alan Jay Fleet Sales (the "Vendor") utilizing the 2024 City of Tallahassee Contract No. 5179-2024; and WHEREAS, the purchase of the Vehicles was included in the Adopted Budget; and WHEREAS, the City Commission wishes to authorize the City Manager, or his designee, to expend budgeted funds for the purchase of the Vehicles from the Vendor, in an amount not to exceed Two Hundred Thousand Dollars and No Cents ($200,000.00), which includes a contingency in the amount of Eighteen Thousand Four Hundred Sixty -Five Dollars and No Cents ($18,465.00). NOW, THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA, AS FOLLOWS: Section 1. Authority to Expend Budgeted Funds. The City Commission hereby authorizes the City Manager, or his designee, to expend budgeted funds in an amount not to exceed Two Hundred Thousand Dollars and No Cents ($200,000.00), which includes a contingency in the amount of Eighteen Thousand Four Hundred Sixty -Five Dollars and No Cents ($18,465.00) from Alan Jay Fleet Sales. REASONS: The City of Sunny Isles Beach is in need of three 2025 Ford F150's and one 2025 Ford Ranger. These trucks are needed for Facilities, Streets and PW Operations. As you may be aware, there is a possibility of tariffs and vehicle price increases in the near future. In light of this potential development, we need to assess our planned vehicle replacements for the upcoming FY26 budget. To avoid incurring higher costs in a few months, we may consider proceeding with the vehicle purchases now- subject to approval of a budget amendment. The attached vehicles are currently available for purchase at Alan Jay. 1. Ford F-150 — Streets Division (New Vehicle) This vehicle will serve as a new addition for the future Public Works Street Foreman. It is necessary to ensure proper field mobility and support for supervisory oversight of street maintenance activities throughout the City. 2. Ford F-150—Streets Division (Replacement Vehicle) The second Ford F-150 will replace a current vehicle from model year 2016. The existing unit is a 2WD with a short bed and limited capabilities. The replacement will be a 4WD with a long bed, providing Item Number: 9.0 103 greater utility and improved access to off-road areas. This replacement is in accordance with the City's seven-year vehicle replacement plan, which is designed to reduce long-term maintenance costs and ensure reliable operation. 3. Ford F-150 Super Cab — PW Operations (Replacement Vehicle) This vehicle will also replace a 2016 model year truck. It will be utilized for hauling materials and hooking trailers, with the added Super Cab configuration to allow space for secure storage of power tools and equipment. 4. Ford Ranger Crew Cab — Facilities (Replacement Vehicle) The final vehicle is a replacement for a 2011 model year truck. Following the City's replacement schedule, this Crew Cab configuration will support efficient transport of personnel and equipment necessary for city-wide maintenance efforts. All four vehicles will be essential in supporting the general maintenance activities across the City, enhancing operational efficiency, safety, and productivity. The procurement will be conducted through the City of Tallahassee Contract No. 5179 for New Municipal Vehicles, Cars, Vans, Sport Utility Vehicles, and Light Trucks, awarded to Alan Jay Fleet Sales. The total cost of the four vehicles will not exceed $181,535.00. Payment will be rendered upon delivery and successful inspection by the City's Fleet Staff. Staff is recommending a contingency amount of $18,465.00 for wrapping, spraying bed liners, Strobe lights and inverters for a total amount not to exceed $200,000.00.
