RESOLUTION NO. 2005-7~4
A RESOLUTION OF THE CITY OF SUNNY ISLES BEACH,
FLORIDA, AUTHORIZING THE CITY MANAGER TO
ENTER INTO A 60-MONTH LEASE AGREEMENT WITH
TOSHIBA BUSINESS SOLUTIONS FOR FIVE (5)
COPIER/SCANNER/PRINTERS, ATTACHED HERETO AS
EXHIBIT "A"; FURTHER AUTHORIZING THE CITY
MANAGER TO EXECUTE SAID AGREEMENT~ ON
BEHALF OF THE CITY AND TO DO ALL OTHER
THINGS NECESSARY TO EFFECTUATE THE TERMS OF
THE AGREEMENT; PROVIDING FOR AN EFFECTIVE
DATE.
WHEREAS, the number of employees in City Hall has grown and in-house
copying/printing/scanning needs have increased; and
WHEREAS, the City needs additional machines due to the larger size of the new
government center; and
WHEREAS, our current copiers are inadequate to meet future needs in the new
government center; and
WHEREAS, staff has researched leasing digital copiers and determined that the Toshiba
copiers have the appropriate copying/printing/scanning capabilities to meet the expanded
copying/printing/scanning needs.
NOW THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE
CITY OF SUNNY ISLES BEACH, FLORIDA, AS FOLLOWS:
Section 1. Approval of Lease Agreement. The 60-Month Lease Agreement by and between
the City of Sunny Isles Beach and Toshiba Business Solution, attached hereto as Exhibit "A," for
five (5) Digital Copiers, in an amount of Two Thousand Eighty-Seven Dollars ($2,087.00) per
month (base charge) plus additional per-copy charges, as more particularly described in Exhibit
"A", is hereby approved.
Section 2. Authorization of City Manager. The City Manager is hereby authorized to execute
said contract and to do all other things necessary to effectuate the terms ofthis agreement.
Section 3.
Effective Date. The Resolution shall take effect immediately upon adoption.

MEMORANDUM
To: The Honorable City Commission

Re: Toshiba Copier Lease For Sunny Isles Beach Government Center
RECOMMENDATION:
It is recommended that the City Commission adopt the attached resolution.
REASONS:
The City currently has three Toshiba copiers: one in the building department, and two in City
Hall. The City will require two additional copiers given the larger size of our new Government
Center.
In addition, the existing copiers should be replaced with newer models that are faster and/or have
additional features, such as color copying, to meet some of the specialized needs of various City
departments. The new proposal will provide faster black & white copiers for the City Clerks
office and Building department, as well as color copiers for general use on the third and fourth
floors of the new facility. One additional color copier will be provided on the ground floor for
Cultural and Human Services.
The recommended proposal from Toshiba Business Solutions is based on existing government
contracts with the City of Miami and the University of Florida, therefore this agreement is
exempt from the competitive bidding process under the City's purchasing ordinance.
