Home My WebLink AboutReso 2009-1402 RESOLUTION NO. 2009-J.!:lJr& A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA, AUTHORIZING THE PURCHASE OF THE DELL EQUAL LOGIC SYSTEM FROM DELL FOR DATA STORAGE, IN AN AMOUNT NOT TO EXCEED FIFTY -FOUR THOUSAND FOUR HUNDRED NINETY-NINE DOLLARS ($54,499.00), AS OUTLINED IN THE QUOTE A TT ACHED HERETO AS EXHIBIT "A"; AUTHORIZING THE CITY MANAGER TO DO ALL THINGS NECESSARY TO EFFECTUATE THIS RESOLUTION; PROVIDING FOR AN EFFECTIVE DATE. WHEREAS, many of the City Departments are in the process of scanning documents into Laserfiche for retention in a digital format; and WHEREAS, the City's storage device is failing, as it is reaching its maximum storage capacity; and WHEREAS, Dell has an Equal Logic System which provides ongoing support and the capacity needed to support our infrastructure not only for the immediate demand but for future storage demands; and WHEREAS, staff requested a quote from Dell, a leader in the computer industry, for said equipment and associated software; and WHEREAS, Dell has provided a quote under the State of Florida Enterprise Contract #250-000-09-1, for the purchase of the Dell Equal Logic System for data storage, in an amount not to exceed Fifty-Four Thousand Four Hundred Ninety-Nine Dollars ($54,499.00), attached hereto as Exhibit "A". NOW THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF SUNNY ISLES BEACH, FLORIDA, AS FOLLOWS: Section 1. Authorization of Purchase. The City Commission hereby authorizes the purchase of the Dell Equal Logic System, under the State of Florida Enterprise Contract #250-000-09-1, in an amount not to exceed Fifty-Four Thousand Four Hundred Ninety-Nine Dollars ($54,499.00), as outlined in the quote attached hereto as Exhibit "A". Section 2. Authorization of City Manager. The City Manager is hereby authorized to do all things necessary to effectuate this Resolution. Section 3. Effective Date. BACKGROUND The City Data is stored on a SAN Storage device represented by a company called HiFn Inc. Originally the storage device was supported by a company called Siafu Software Inc. Hifn Inc. acquired Siafu a year ago, and at the time of acquisition we lost support for our storage device. We have been without support for the past year and we were going to address this issue in next year's budget. Unfortunately we have two scenarios that have developed. The first scenario is that the storage device is failing and we were forced to buy parts from amazon.com to keep the system operational. Second the storage device is reaching its maximum storage capacity rapidly due to the laserfiche system. Laserfiche is a system that allows you to scan documents and store the documents in a storage device. Many departments have begun the process of scanning which is a great benefit to the City due in part of document retention in a digital format. Because of these reasons we are recommending a system from Equal Logic which is supported by Dell. The Equal Logic system will have the ongoing support and the capacity needed to support our infrastructure. Not only for the immediate demand but for future storage demands. The system can be extended to make more storage available and it is not dependant on having to buy the same Equal Logic model. Attached are the specifications of the Equal Logic model we are proposing to purchase in the amount of $54,499.00 under the Florida State Enterprise Contract No. 250-000-09-1. ADDITIONAL INFORMATION We are going to use the GIS funds allocated in this year's budget to purchase the storage device. We will then budget for the GIS application in the next budget cycle.
