Informational Touchscreen Kiosks and Software Services Request for Proposal No. 17-04-01 The Bid Specifications for this Request for Proposal are available from DemandStar by calling (800) 711- 1712 or by accessing their website at www.demandstar.com. The Bid Specifications may also be examined at the City of Sunny Isles Beach —Office of the City Clerk. Vendors who obtain the Bid Specifications from sources other than DemandStar or the City of Sunny Isles Beach are cautioned that their Bid response package may be incomplete. Addenda will be posted and disseminated by DemandStar at least five days prior to the submittal date to all vendors who are listed on the official list. The City may not accept incomplete Bids. All implementation services shall be coordinated through the authorized City's IT project manager. 3.7 SOFTWARE MAINTENANCE AND SUPPORT SERVICES The selected Proposer shall provide all software maintenance support services for the Kiosks, throughout the term of the contract, including any optional renewal periods. At a minimum, maintenance services shall include updates and upgrades to the Kiosk. Maintenance Services on the software shall include corrections of any substantial defects, fixes of any minor bugs, and fixes due to any conflicts with mandatory operating system security patches as well as upgrades to new version releases. All environments, production and non-production, including testing and staging shall also be covered under Maintenance Services. Maintenance Services must be provided via Remote Services using virtual private network (VPN) access or in person. 3.8 TECHNICAL SUPPORT SERVICES The selected Proposer shall be responsible for providing on-site and on-call technical support services to ensure optimal performance of the proposed kiosks, including all hardware and software components. This should include remote diagnostic tools to detect and correct application errors in the software component. All alerts or error notifications shall be sent to the City's IT Helpdesk. 3.9 WARRANTY A. Type of Warranty Coverage Required In addition to all other warranties that may be supplied by the Proposer, the bidder shall warrant its products and/or service against faulty labor and/or defective material, for a minimum period of one (1) year after the date of acceptance of the labor, materials and/or equipment by the City Commission. This warranty requirement shall remain in force for the full one (1) year period; regardless of whether the bidder is under contract with the City at the time of defect. Any payment by the City on behalf of the goods or services received from the bidder does not constitute a waiver of these warranty provisions. B. Correcting Defects Covered Under Warranty The Proposer shall be responsible for promptly correcting any deficiency, at no cost to the City, within one (1) calendar day after the City notifies the Proposer of such deficiency in writing. If the Proposer fails to honor the warranty-and/or fails to correct or replace the defective work or items within the period specified, the City may, at its discretion, notify the Proposer, in writing, that the Proposer may be debarred as a City bidder and/or subject to contractual default if the corrections or replacements are not completed to the satisfaction of the City within five (5) calendar days of receipt of the notice. The extended warranty shall include preventative maintenance for all hardware, equipment, and/or devices to combat normal wear and tear from general usage to maintain proper operations. The price proposal will be evaluated subjectively in combination with the technical proposal, including an evaluation of how well it matches Proposer's understanding of the City's needs described in this Solicitation, the Proposer's assumptions, and the value of the proposed services. The City reserves the right to negotiate the final terms, conditions and pricing of the contract as may be in the best interest of the City. 4.4 NEGOTIATIONS The City may award a contract on the basis of initial offers received without discussions. Therefore, each initial offer should contain the Proposer's best terms from a monetary and technical standpoint. Notwithstanding the foregoing, if the City and said Proposer(s) cannot reach agreement on a contract, the City reserves the right to terminate negotiations and may, at the City Manager's or his designee's discretion, begin negotiations with the next lowest responsible and responsive proposer. Presenting Better Solutions Training Schedule CCS Presentation Systems and CMA Digital Shall conduct training as required to turn over the digital signage system hardware and software utilization. The training shall consist of(8) hours which may be completed in multiple sessions. The training will be located at the CMA Digital Home office in Hollywood, Florida. The training shall include but not limited to: • Familiarization with the display and kiosk hardware usage including the flat panel operation, camera control, audio control,temperature control, etc. • Familiarization with the Kiosk printer including but not limited to how to replace the paper, ink, etc. • Familiarization with the wayfinding capabilities (i.e. keyboard search engine to locate, people, destinations or objects) • Familiarization with the Scala Content Manager, and any other end user related software tools • Turnover of the manual/ user guide for the operation and management of the digital directory system The actual training schedule timeline is dependent upon completion and faculty/Staff participation to join CCS/CMA in a training session at the client location. CCS recommends that the Technical Staff or Staff solely responsible for the day to day operation of the system be present for the training. Those Staff members can then pass on any details to other employees who would have limited access or usage to the digital signage system.
