Regular team coordination meetings to identify project challenges, present proposed solutions and track progress of the issues resolved and those that remain. 2. Task lists that are distributed to all participants since some challenges do require research beyond what is available at table discussions. 3. A schedule with critical milestones to assist the team is foreseeing interdependent decisions or work to avoid interruption of work flow. 4. A list of deliverables that all parties are privileged to identifying the expectations from the team, including the Owner. We have studied the requirements of your project for phasing requirements and design process and propose the below schedule. While ambitious,we feel the schedule could be even further condensed if desired taking advantage of our favorable workload. Leaders in LEED... As a member of the USGBC,Song+Associates strongly supports the City of Sunny Isles Beach's goal for green building design.Song+ Associates previously designed West Palm Beach's City Center comprising the City Hall, Public Library and Palm Beach Photographic I Centre and Museum. City Center is an excellent example of sustainable design and the City's contribution to fundamental improvements in environmental management and use of resources. Using recycled and reused materials, redeveloping an urban site with existing infrastructure, and promoting community connectivity,we would apply many of the same philosophies to elevate your ICity Hall and Community Center as a leader in sustainability practices. All of Song + Associates' projects are designed to create a balance of environmental responsibility, resource efficiency, occupant comfort/well-being, and community sensitivity. There are many clients who choose not to pursue LEED®certification however,we I maintain our goal to be responsive to the environment and implement the LEED®criteria in our design whenever practical even when not seeking certification or seeking certification from another organization. These include USGBC LEED®, Florida Green Building Coalition,Green Globes, and Energy Star. I As an early step in the project process, our team will provide a comparison of the pros and cons of the various methods of construction, material selections,HVAC systems and site elements so that informed decisions can be made. We will examine the construction cost premium of each element as well as the expected maintenance and operational cost impacts and the projected energy cost savings I over the building's life cycle. Together with our consulting engineers, our team has completed numerous significant public projects that have achieved leading edge performance in sustainable design. Questions & Answers: 1. In regards to the 5 year limit, will there be consideration to projects that are a little older than that, say projects that were completed in the past ten years, due to the economy coming out of a recession? A. For this criteria, evaluation will be focused on government projects of similar size and scope within the past 5 years. As noted in Section 5 (item E) of the RFQ "Concentrate only on those services rendered by the Firm within the past five (5) years, which mostly match the scope of services." 2. In Section 5, Item E, it states "...references for work within the last 5 years, PREFERABLY from government agencies..." On Reference Questionnaire, it requests "...3 difference government agency reference other than the City of Sunny Isles..." Please clarify whether we can submit references that are not from a government agency. A. References other than government entities may be submitted, however government and L local government references are preferred. . If references MUST be from a government agency, can we use agencies that we've worked with but not necessarily designed a civic/government building for? A. Projects must have been for a similar scope as requested in the RFQ. 4. Section 5, Item E,the City of Sunny Isles is requesting copies of executed agreement. Is this mandatory? Our client agreements are confidential at the request of our client and our legal department. A. Please submit executed agreement(s), if any,for the past 5 years between firm and government agency(only include documents which are deemed public records). Please indicate if your firm was a sub-consultant to the firm that was awarded a government contract. Contracts with private entities are not being requested. Questions & Answers: 1. If design is completed but construction is pending for next year, does that count as a project. Or does construction need to be completed in order to qualify as a project? A.Please submit a copy of the solicitation the government agency advertised, the agreement your firm was awarded and the project status.
