<br />JANITORIAL MAINTENANCE SERVICES | Bid No. 19-08-02 10 <br /> <br />Section 2 <br />Special Terms and Conditions <br /> <br />2.1 PURPOSE OF BID: <br /> <br />It is the intention of the City (the “City”) to award one or more contracts to licensed janitorial <br />contractors to provide janitorial cleaning services with prompt and reliable service to meet and <br />exceed the requirements of these specifications. The awarded contract will include, but not limited <br />to furnishing all labor, materials, tools, equipment and supervision necessary for such service. The <br />City reserves the right to add similar items/services or delete items/services specified in the contract <br />as requirements may change during the course of the Contract. All cleaning services shall be <br />performed in a manner and at such times so as not to conflict, interrupt, or inconvenience the City <br />employees, its occupants or visitors. <br /> <br />2.2 PRE-BID CONFERENCE (MANDATORY): <br /> <br />A Pre-Bid Conference for all potential bidders is set for Tuesday, September 3, 2019 at 2:00 <br />PM in the First Floor Conference Room at the City of Sunny Isles Beach Government Center located <br />at 18070 Collins Avenue, Sunny Isles Beach, Florida 33160. Bids will not be accepted from <br />bidders who did not attend the Pre-Bid Conference. Immediately following shall be a <br />mandatory tour of the facilities to be serviced under this contract, vendors MUST participate in this <br />tour, please allow 3-4 hours for this tour. No plea of ignorance by the Bidder of conditions that <br />exist, or that may hereinafter exist as a result of failure to make the necessary examinations or <br />investigations or failure to fulfill in every detail the requirements of the contract documents, will be <br />accepted as basis for varying the requirements of the City of Sunny Isles Beach or the compensation <br />of the Bidder. <br /> <br />2.3 TERM <br /> <br />This initial contract shall commence upon approval by the City Commission, contingent upon the <br />completion and submittal of all required bid documents and fully executed contract. The initial <br />contract shall remain in effect for two years with an option of three mutually agreeable written <br />renewals of one (1) year each. This contract shall remain in effect until the completion of services, <br />provided that the services rendered by Firm during the contract period are satisfactory and that <br />City funding is available as appropriated on an annual basis. However, in the event funding is not <br />appropriated on an annual basis during any particular year within the contract period, the contract <br />may be canceled upon thirty (30) days written notice to Firm. In such an event, the City shall only <br />be responsible for the reasonable value of services performed prior to the effective date of <br />termination. <br /> <br />2.4 OPTIONS TO RENEW <br /> <br />The initial contract prices resultant from this solicitation shall prevail for a two (2) year <br />period from the contract’s initial effective date. Prior to, or upon completion, of that initial term, <br />the City shall have the option to renew this contract for an additional three-(1) year periods on a <br />year-to-year basis.
