REQUEST FOR QUALIFICATIONS NO. 20-07-01 <br />CONTINUING PROFESSIONAL CONSULTING SERVICES (CCNA) <br /> <br /> <br /> <br /> <br />TAB D: PROJECT APPROACH AND UNDERSTANDING <br /> <br />▪ Meetings <br />Regular project meetings will be held with Sunny Isles Beach’s representatives for all phases of the <br />project. Craven Thompson will facilitate these projects and attendees present at the meetings will be <br />dependent on the phase of the project and the issues to be addressed. These meetings will be <br />focused on adherence to the project timeline, quality control, budget, and also on the resolution of <br />any outstanding issues. <br />▪ Public Outreach (as necessary depending on project scope, complexity and sensitivity) <br />The public outreach program created and facilitated by Craven Thompson shall be comprised of the <br />following primary elements: <br />◦ Conduct public outreach meetings during the design and <br />construction process to inform the public and solicit <br />comments. <br />◦ Create a project website (or a page for the City website) <br />so that homeowners can keep up to date on schedules, <br />traffic changes, public meetings, photos showing <br />progress of the project, safety steps being taken, and the <br />progress. Make it simple and keep it updated on a <br />frequent basis. Link all Facebook and Twitter feed. <br />◦ Prepare a database of landowners, business associations <br />and businesses adjacent to and contiguous with the <br />rights-of-way. <br />◦ Create project Facebook and Twitter accounts. Use them <br />daily with pictures to show progress and if necessary and <br />MOT changes. <br />◦ Create a hotline to make sure that with one phone call, a <br />resident can obtain the information requested or be <br />directed to appropriate City staff or Mr. Gibney. <br />◦ Schedule a public workshop in the neighborhood to <br />educate the homeowners and get their feedback. <br />◦ Develop a database of the homeowners and stakeholders affected. <br />◦ Create a letter to be mailed, and a follow up flier/door hanger to be hand-delivered to each <br />house with information about the project, and the public meeting early in the project. <br />◦ If needed, signatures can be obtained from resident homeowners acknowledging they <br />understand there will be workmen in their yards, and some landscaping changes may occur. <br />The team member delivering the door hangers can be tasked with this item. <br />◦ Upon completion of the project, create and mail a newsletter with information and pictures to <br />show residents the results. The City may wish to provide this information to residents who <br />receive their email newsletter. <br />◦ A plan addressing anticipated issues during construction will be presented to the <br />neighborhood involving such topics as road closures, traffic management, public safety <br />issues, access to property, parking, bus routes, safe sidewalk access, routes to schools, <br />construction hours, dust control, noise control, and construction material & equipment <br />storage in the area. <br />D | Page 6
