<br /> <br />August 18, 2020 <br />Professional Consulting Services <br />City of Sunny Isles Beach <br />RFQ No. 20-07-01 <br /> Page 22 <br /> <br />Schedules and Resource AllocationSchedules and Resource AllocationSchedules and Resource AllocationSchedules and Resource Allocation <br /> <br />Coastal Systems will prioritize the success of any projects with the City of Sunny Isles Beach. <br />Coastal Systems will complete specific project planning, engineering analyses, design, cost <br />and alternative analyses, permitting and construction administration tasks identified by the <br />City on time schedules mutually agreed upon. The time schedules will be dependent on the <br />complexity and legal/technical/regulatory challenges involved in each particular project. <br />Several projects/tasks can be run concurrently, depending on the City’s master <br />implementation schedule and funding structure. Although the potential size and volume of <br />projects that may be generated under this contract is moderate, the Coastal Systems team <br />has sufficient staff resources to dedicate to this contract. City projects will be planned well <br />in advance and our team will be careful to not to stretch our resources so as to maintain <br />excellent client service. <br /> <br />We are also able to respond quickly and effectively when emergency or other short-notice <br />projects/tasks arise unexpectedly. We have a proven track record for managing multiple <br />projects and committing necessary resources to meet our clients’ goals. <br /> <br />Cost MonitoringCost MonitoringCost MonitoringCost Monitoring <br /> <br />Coastal Systems utilizes the Vision accounting system (Vision) to monitor budgets and <br />weekly staff time postings. The project manager is responsible for reviewing and approving <br />all time posted to a project. Vision provides a web-based environment for project <br />accounting, reporting and tracking, providing detailed reports of project progress and <br />budget. The project management reports provide the project manager with real time <br />indicators of percent of fees expended. The project manager can review the budget <br />expended versus the percent of work complete for a particular task. Project invoices are <br />generated directly from the accounting system, and invoices are reviewed by the project <br />manager, with final approval by the Director to ensure consistency and accuracy. <br /> <br />Coastal Systems is constantly monitoring materials and labor costs for civil, marine, and <br />other projects on behalf of our clients, and will advise the City if changes in market <br />conditions may affect project construction costs estimates/budgets. <br /> <br />
