Response to Invitation to Bid <br />City of Sunny Isles Beach <br />Motor Coach Transportation <br />Invitation to Bid No. 21-03-02 <br /> <br />25 <br /> <br /> <br /> <br />All buses will be equipped with a heating, ventilating and air conditioning system (HVAC) and <br />maintained regularly through our Preventative Maintenance program at 120 day / 24,000-mile <br />intervals. All HVAC repairs necessary will be performed in a timely manner by qualified <br />technicians. Any modifications needed to our program to provide better service can be made. <br />All bus radio and interior sound systems will be repaired in a timely manner with adequate <br />spare units to replace defective units in cases where time is of the essence. Drivers w ill be <br />instructed to insure they notify our maintenance staff of any defects and that buses will be <br />placed out of service until the defects are corrected. <br />It is our practice to repair any defective seats and windows damaged by either vandalism or <br />normal wear and these repairs can be done within 48 hours. All seats permanently stained or <br />damaged beyond repair will be repaired within fourteen days. All broken windows will be <br />replaced immediately. No coach will operate with a broken glass. These guidelines wil l be <br />given to our maintenance staff. <br />Our Preventative Maintenance (PM) program is driven both by time and mileage <br />accumulations, whichever comes first. Our PM program is based on information and <br />requirements established by our vehicle manufacturer and the Department of Transportation. <br />The program has been enhanced by using information from our computer systems regarding <br />bus system failure frequencies and this data is used to add, delete, change or move a PM <br />inspection item. <br />Each driver will perform pre and post trip inspections, before and after each trip. All defects <br />will be addressed before the bus goes into service. The driver will be trained on the proper <br />procedures and standards for the inspections. These inspections will be treated with the <br />utmost importance and compliance will be strictly enforced by the management staff. These <br />inspections will be made available to the City upon request. <br />General repairs, driver defects, audit defects and process work generated from PM <br />inspections will all be handled in the same manner. The bus will be placed out of service and <br />a replacement bus provided if the particular bus is not planning to make its pull out time. <br />A bus out of service list is maintained on a Daily Shop Worksheet, where you can find all the <br />information about all the buses placed out of service for that location. <br />No buses will be operated with broken or inoperable passenger doors, windows, or seats. All <br />lights, wipers and horn will be operating. The buses will be equipped with DOT qualified fire <br />extinguishers. No buses will operate with any defective or inoperable brakes or defects noted <br />without being addressed. <br />The supervisors, foremen and managers are encouraged to perform “follow -up inspections” <br />on work performed out of the garage to ensure the integrity of the job performed by its <br />technicians.
