PROJECT MANAGEMENT PLAN <br />SCOPE <br />OCI will conduct a thorough MEP/FP equipment and systems <br />space analysis to demonstrate the current inadequacies and <br />offer estimates of current and projected space requirements <br />based upon industry standards, policing trends, and the <br />City’s growth for all proposed locations. We will provide site <br />evaluations and gathering of appropriate data on existing <br />facilities and work with the City and CPZ Architects to <br />determine if renovation, expansion, or new construction is <br />possible at one of the property locations. <br />OCI will provide a comparison of the life cycle for the <br />renovation of an existing facility, acquisition of an adaptive re- <br />use facility, or new construction. We will identify building costs <br />and site requirements, including lot size recommendations, <br />and required site elements, including but not limited to <br />parking, security, lighting, access, visibility, etc. <br />OCI will collaborate with City staff on policing philosophy, <br />organizational hierarchy, current and future department <br />goals, jurisdictional strategic plan, staffing projections, key <br />personnel to be interviewed, space needs of agency by <br />function, and any other information deemed appropriate <br />to ensure an accurate analysis. We understand the existing <br />facility’s layouts, building codes within jurisdiction and future <br />policing trends and needs. <br />OCI will assist CPZ Architects in obtaining public and <br />community comments and/or information, as mutually <br />agreed upon between the City of Sunny Isles Beach. <br />METHOD OF APPROACH <br />1. Our Project Manager, Sudharma will create a spreadsheet <br />with all the facilities listed with hours available and work <br />with each manager of the building to set aside team for <br />the OCI team to visit the site with minimal disruption. <br />2. OCI always keeps the schedule of your Facilities team <br />and the access to each site/building in mind when <br />determining the best time to conduct each investigation. <br />3. We take into consideration the hours of operations of the <br />existing and occupied facilities and coordinate with the <br />facilities' teams to gain access of proposed buildings and <br />secured rooms. <br />4. To utilize the best means of everyone’s times, we will <br />determine if multiple sites can be visited in one day and <br />make a geographic map of the locations to optimize the <br />best use of everyone’s schedule. <br />5. The next step in our process is to speak and meet with <br />the maintenance team and pull any existing as-built <br />drawings, maintenance reports, and issues log, so the <br />team has a full picture of the existing condition of each <br />building space before visiting the site. <br />6. As we compile information, photograph and document <br />each site visit; information will be uploaded into a <br />Cloud Server for all team members to utilize and store <br />information to keep a collaborative approach to the <br />building assessments. <br />7. Our team will meet on a regular basis to discuss and <br />confer on items seen in an effort to keep everyone in <br />the loop. <br />8. Our Project Manager will develop the Property Condition <br />report with identified deficiencies to the The City with <br />our teams recommendations for repair, replacement and <br />ideas that may be necessary for the useful life remaining <br />with budgets and anticipated time frames to maintain <br />the existing spaces. <br />9. Any buildings or equipment that have immediate needs <br />will be listed and prioritization giving. <br />10. Our team will work with you to create a preliminary <br />budget, taking into account quality of materials, <br />availability of equipment, manufacturers preferred with <br />a long term goal and plan to get all the buildings up to <br />code and standards. <br />"A Collaborative <br />approach to building <br />assessments is uploading <br />photographs and <br />documenting each site <br />to a Cloud Server for <br />easy access to all team <br />employees".
