The scope of services of this RFQ speaks directly to our core body of work. We are committed to being the City of Sunny Isles Beach’s <br />long-term partner on this important project, and being adaptable as the project is refined to ensure the best solution for the city. <br />KICK-OFF MEETING / PROJECT STAKEHOLDERS WORKSHOP <br />Upon starting your project, our team will conduct an initial meeting to review the proposed project and confirm the schedule for <br />specific tasks. This initial meeting is an orientation to the methodology, project objectives, and responsibilities of the city’s project <br />management team, police department representatives, ocean rescue department representatives, and project stakeholders. At this <br />time, the goals and objectives for the project activities and milestones are discussed and agreed upon. <br />SPATIAL NEEDS ASSESSMENT <br />The spatial needs assessment is an early, essential part of the comprehensive <br />planning approach to determine the future spatial needs of the Sunny Isles Beach <br />Public Safety Departments. During this task, we will schedule several meetings with <br />city and project stakeholders. The space needs provides four important elements of <br />the planning process: <br /> ●Identifies and documents deficiencies in the existing police department, ocean <br />rescue, and support facilities. <br /> ●Provides a detailed space-by-space definition of the elements to be included in <br />the new facility, including projections for potential future building needs. <br /> ●Provides the initial budget analysis and options for identifying the cost of an <br />appropriate facility. <br /> ●Initiates the political process necessary to create consensus. <br />Information Gathering and Data Collection: The design team will analyze data obtained from the city, including current copies of <br />departmental organizational structures reflecting the “chain of command” and identification of the departments' administrators of <br />each program component within the project. Data collection gathers population and demographic statistics useful in the beginning to <br />project future needs. Also helpful is historical information on size of staff and case load volumes. <br />Staff Questionnaire: During this task, our team will prepare and distribute a detailed questionnaire (survey) to staff leaders. The <br />questionnaire serves two important objectives. First, it documents important information formulated from facility user input. Secondly, <br />it begins the formal process during which the users begin to think critically about their current facility and what an appropriate facility <br />should be to best serve the needs of the community as well as the city's public safety departments. <br />On-Site Interviews: Our team will meet one-on-one with facility users to gain a detailed understanding of entity functions and general <br />spatial requirements anticipated to be accommodated by the project. On-site interviews with the questionnaire respondents are <br />necessary to “read between the lines and fill-in the gaps” of the respondents’ observations. We will record in detail what the needs are <br />for each space and will assist the departments' personnel in achieving a deeper understanding of how the new or renovated public <br />safety facility must function. <br />EVALUATION OF CURRENT CONDITIONS <br />During site visits, we will conduct an evaluation of the existing conditions, documenting alterations and deficiencies of the facilities. <br />The team will evaluate the following sites during this phase: <br /> ●18070 Collins Ave, Sunny Isles Beach, FL 33160 <br /> ●18080 Collins Ave, Sunny Isles Beach, FL 33160 <br /> ●18050 Collins Ave, Sunny Isles Beach, FL 33160 <br />PROJECT APPROACH <br />7
