<br />City of Sunny Isles Beach |Request for Proposal No. 22-03-01 16 <br /> <br />SECTION 3 <br />SCOPE OF WORK / TECHNICAL SPECIFICATIONS <br /> <br />3.1 SCOPE OF WORK <br /> <br />The event management Firm shall be responsible for the following: <br />• Researching comparable venues and rental rates, and recommending a structure of <br />rental fees associated with renting each area of the facility, including varying rates for, at <br />minimum, resident, non-resident, non-profit, for profit. <br />• Developing a rental application form, including all pertinent information from applicant <br />related to event, to be reviewed and approved by City. <br />• Developing a list of pre-qualified vendors that contractor can utilize in the execution and <br />management of an event at the facility. This list must be reviewed and approved by the <br />City. Any vendors providing services on City property are required to provide proof of <br />insurance, naming the City as additional insured. (See Section 2.8 – Insurance for <br />details) <br />• Developing and implementing an effective marketing program that produces positive <br />results in the use of Gateway Center. <br />• Complete management of the event which shall include, but not be limited to, the <br />following: <br />I. Fielding all inquiries, site visits, and meetings from prospective clients with <br />regard to renting the facility and acting as the manager of rentals on behalf of <br />the City. <br />II. Entering into agreements with clients and negotiating the details of services. <br />The City shall approve all agreements prior to execution. Contractor shall be <br />solely responsible for the client and to ensure satisfaction and fulfillment of <br />agreed upon services. <br />III. Ensuring all components of any rental application or use of facility under their <br />agreement, complies with all federal, state, county, and municipal laws, <br />ordinances, policies, and rules. <br />IV. Collaboration with City staff to ensure the readiness of facility as per rental <br />agreement for event day with required materials and access in place. <br />V. Providing a minimum of one (1) properly trained permanent staff member on <br />site at all times during all event rentals. <br />VI. Ensuring that they operate without regard to race, color, religious creed, <br />national origin, ancestry, age, gender, marital status, or disability. <br />VII. Ensuring that events comply with City noise ordinance (all rentals must end <br />no later than 1:00 am. Outdoor sound/music must conclude by 11:00 pm.) <br />VIII. Ensuring that all regulatory and training requirements for the serving of <br />alcoholic beverages are met, and that appropriate liability insurance is
