Managing a shared calendar of events with the City and obtaining approval from the City prior to confirming a rental with a client. Communicating weekly with City to update on any confirmed venue rentals. XI. Meeting with the City designee monthly to ensure all key information is communicated and any issues/concerns are addressed. In the case of a general emergency as declared by the City, the City retains the right to immediately resume occupation, management, and maintenance of Gateway Center. GENERAL GUIDELINES FOR USE OF FACILITIES: Events – Gateway Center is designed to be used for events including, but not limited to, celebrations, weddings, parties, corporate events, and meetings. SMOKING / OPEN FLAMES • Smoking inside any City facility is strictly prohibited. The event management company will be required to adhere to and enforce this policy. • The use of open flames, including but not limited to candles, tiki torches, and campfires is strictly prohibited. The only exception to this is the gas grill inside the catering kitchen. • Events are not permitted to utilize any type of fireworks/pyrotechnics. This includes displays launched from City property or another location, with the intent of being viewed by guests at Gateway Center. PARKING • All vehicles must remain on paved roads and/or parking lots. • Secondary overflow parking available at Bella Vista Bay Parking lot, but must be requested and approved for each specific event needing it. SIGNS Any and all signs posted for events will comply with City Code of Ordinances, Chapter 265, Article IX – Sign Regulations. MUSIC Audio decibels must comply with City Code of Ordinances, Chapter 193 - Noise. The management company is responsible for monitoring noise levels with a sound decibel reading device, if necessary.
