Quality Assurance/Quality Control <br />KEITH is keenly aware that time is of the essence for most projects and cost is always an important component <br />of the design. Therefore, we have an established Quality Assurance / Quality Control (QA/QC) Program that <br />is implemented throughout the design process and through project closeout. This ensures that the plans are <br />prepared to the highest quality standards from the beginning and eliminates lengthy agency review and revision <br />times. It also allows for value engineering and constructability analysis throughout the quality review process. <br />The Quality Control department at KEITH is truly innovative and was instituted to hold all projects to a higher <br />quality than industry standards. This department is an integral part of all projects, and it is composed of several <br />experienced professional landscape architects and planners that have a combined 100+ years of experience. Our <br />QA/QC Program consists of the following four (4) key principles: <br />1. Proper Project Approach: Quality is achieved through due diligence, communication planning, coordination, <br />supervision, and technical direction at the very start of the project. The Project Manager will discuss the goals <br />and objectives for each project with the City to understand the scope of work, level of detail and the applicable <br />technical standards that need to be met for each assignment. <br />2. Constant Project Supervision and Communication: Quality is achieved by conveying the scope and special <br />instructions to the office and field staff together with regular reviews of their continued work effort and progress. <br />3. Active Senior Management: Quality is assured by the Senior Management establishing realistic schedules <br />and providing the proper technical directions to the team assigned. Plan omissions are typically the greatest <br />challenge in any QA/QC program, and they are best identified in a review by experienced senior staff members. <br />Senior staff also provide the independent reviews of the processes, procedures, and project documentation to <br />provide the required deliverable to the City. <br />4. Formal Quality Reviews: Quality of the deliverables and the procedures is verified by the KEITH QA/QC <br />Officer, Mr. Tony Melton, PE. A final check of the deliverables is performed by the Project Manager and the QC <br />Professional on every project prior to submission to the City. <br />FAST TRACK | Efficient Work Order Process <br />Regardless of the project site, scale, or schedule, KEITH commits the necessary resources and quality personnel <br />to complete the work orders. Our experience has provided a thorough understanding of the myriad of project <br />issues that may arise when executing fast-track work orders on contracts requiring on-call landscaping services. <br />The KEITH Team, with its senior level, proactive management, and continuous quality control measures, has proven <br />to be a team that can successfully perform on this consulting services contract for the City of Sunny Isles Beach. <br />KEITH proposes to maintain the process that has been followed for each work authorization based on similar <br />types of experiences, to assure continued timely response to Sunny Isles Beach’s needs, which involves a close <br />working relationship with City representatives, permitting agencies and other key stake holders. This process, and <br />the timeline to which the KEITH Team commits, is as follows: <br />• Our Project Manager, Kelli Schueler, PLA, LEED AP, will meet in person or via telephone with the City’s Project <br />Manager or representative within one (1) business day of the initial scoping meeting request, to discuss scope, <br />schedule, and budget issues related to the individual project work authorizations. <br />• KEITH will provide a draft written scope, schedule, and budget for the work authorizations to the City within <br />five (5) business days of the scoping meeting and be prepared to negotiate the scope and fee through the <br />City’s negotiation process. <br />• KEITH will provide a final written scope, schedule, and budget within two (2) business days of receipt of agreed <br />upon comments on the draft scope following successful negotiations. It is important to note that the KEITH <br />Team has successfully negotiated many projects with a minimum number of negotiation sessions to meet the <br />requirements of the City Commission directives concerning minimizing the negotiations. We have done that <br />by entering the negotiation process with reasonable fees so that one (or two if needed) negotiation sessions <br />are ample to complete the scope and fee process. <br />10RFQ No. 22-06-01
