PHASE 09: PREPARATION AND APPROVALS OF CONCEPTUAL AND <br />CONSTRUCTION DRAWINGS <br />Based on the completed and approved Due Diligence, the KEITH Team will develop initial <br />recommendations and ideas for review by the City, Staff and Stakeholders. The intent of this phase is <br />to develop preliminary design recommendations and determine which of the ideas provide the best <br />overall solution for the City’s goals. Typically, at this phase there will be a number of ideas or concepts <br />developed for the project. Each will take a slightly contrasting approach – all of them will take input from <br />the City, Stakeholders and appropriate team members to ensure the concepts represent the cumulative <br />team’s desires for the project. The drawings and presentations prepared during this phase of design will <br />be conceptual in nature, however they will be based on the detailed information gathered during the <br />Due Diligence process. <br />Presentations, documents and drawings produced as part of the conceptual design phase may include <br />Illustrative plans, diagrams, before and after photo visualizations, 3D renderings, character imagery, <br />opinions of probable costs, and other related graphic presentations to convey the overall intent of design. <br />These documents will be reviewed and coordinated with City, staff, and all identified stakeholders. If <br />determined appropriate by the Team, certain projects may also include public workshops or community <br />input sessions. Only upon approval of a conceptual design will the project move forward to design <br />development and construction drawings. <br />Upon approval of the Conceptual Design, KEITH will prepare the Preliminary or Design Development <br />drawings. The purpose of this phase is to work collaboratively with the design team to finalize the optimum <br />arrangement of all program and site design elements. The following elements will be addressed during <br />this phase of work: site program, landscape treatment and design approach for each development zone, <br />tree inventory and analysis, hardscape and vehicular treatments, and circulation issues identified during <br />conceptual programming. <br />Documents produced as part of preliminary / design development may include plans, sections, and <br />other information to describe the nature, quality and scope of site elements of the project. These <br />drawings are developed in sufficient detail for submittal to the City’s Planning and Development Services <br />Department for review and approval. <br />Upon approval of the Preliminary / Design Development Documents, plans will be further developed <br />into Construction Documents. Drawings will typically be provided in a 60% progress set for review and <br />coordination, and then a final for Permit or 100% Construction Documentation. <br />Ensuring that each phase of design receives complete review and approval by the City prior to moving <br />on to the next phase streamlines the process and makes sure that all parties continue to work towards an <br />agreed upon solution. This establishes a process that keeps the project moving forward in a timely and <br />efficient manner, maintaining the agreed-upon schedule. <br />59RFQ No. 22-06-01
