�'d" '• t F L 4 �'�. yW <br />r} OF 51)L <br />City of Sunny Isles Beach <br />18070 Collins Avenue <br />Sunny Isles Beach, Florida 33160 <br />(305) 947-0606 City Hall <br />(305) 949-3113 Fax <br />MEMORANDUM <br />TO: Honorable Mayor and City Commissioners <br />VIA: Stan Morris, City Manager <br />FROM: Genesis Cuevas, Purchasing Manager <br />DATE: March 16, 2023 <br />RE: Ratify Waiver of Bidding Requirement and Expenditure of Funds for the <br />Purchase a Certified 2021 Ford Passenger Van Transit XLT <br />RECOMMENDATION: <br />Staff recommends approval of this Resolution. <br />REASONS: <br />The City provides free Community Shuttle Service 7 days per week with three lines runnin€ <br />simultaneously for the convenience of residents and visitors. To efficiently and timely maintain <br />essential public services, and understanding that the transit vehicle was needed as soon as possible to <br />ensure the City had a sufficient number of vehicles to provide such shuttle service, staff solicited <br />quotes from various dealerships for similar vans. The city issued PO # 23-00867 on February 14, 202--- <br />for <br />02-for the purchase of said vehicle. <br />Due to supply chain constraints and market volatility, Purchasing and Fleet found it in the city's best <br />interest to waive bidding in the purchase of this Ford to avoid disrupting operations in the Public <br />Works/Transportation department. Furthermore, various Ford dealerships emailed written responses <br />to Purchasing stating they do not have inventory of new vans. According to one of the vendors, Forc <br />will likely open the orders in late spring or early summer with a projected delivery time of 8-12 <br />months. <br />In accordance with Chapter § 62-12. - Waiver of Competitive Bidding Procedures - The Cit, <br />Commission may authorize the waiver of competitive bidding procedures upon the recommendation <br />of the City Manager that it is in the City's best interest to do so, to obtain goods and services which <br />cannot be acquired through the normal purchasing process due to insufficient time, the nature of the <br />Item Number: 10.1-1 <br />
