Questionnaire Form <br />ProvidedetailsonhowvoidingandreversalofindividualdirectdepositACHitemsarehandled. <br />Indicate If it is possible to reverse or cancel an ACH file, and the appropriate procedures and <br />rules applicable. <br /> <br />In the event a reversal or deletion is required, the City may call, fax, or send the request <br />through TD eTreasury. Callback verification is performed on all requests. TD Bank will <br />then process the request according to ACH guidelines. All transmission files submitted to <br />TD Bank are always done within a secure environment, and we use Secure Socket Layer <br />protocol with encryption. <br /> <br />The deadline to delete or reverse a file/batch/entry varies based on when the files has <br />been distributed into the network, which occurs numerous times throughout the day. If the <br />file or batch has not been distributed to the ACH Operator, then it can be deleted from the <br />warehouse. If the file/batch has been distributed to the ACH Operator, then a reversal is <br />required. <br /> <br />12. Lockbox Service: Provide detail process of lockbox service. <br /> <br />TD Bank’s Lockbox operation is an internal department of the bank. We maintain a secure <br />Lockbox processing facility in West Palm Beach, FL staffed by well-trained, dedicated, and <br />experienced employees. In addition to our employees who are committed to delivering the <br />highest levels of quality and service to the City, we have established metrics in place and <br />various quality control measures to further ensure the timeliness and accuracy of the lockbox <br />services that we provide. <br /> <br />Retail Lockbox <br /> <br />TD Retail Lockbox allows the City to optimize available funds, improve customer service, and <br />systematically update your accounting system by having the bank process your receivables <br />daily using a designated lockbox. By using TD Retail Lockbox, you will optimize your available <br />funds due to minimizing the float associated with the conversion of receivables into cash. <br /> <br />To allow for data capture in the bank’s lockbox processing system, the City's bills or coupons <br />will need to be created using optical character recognition (OCR) technology. Daily contents <br />of your lockbox will be collected from one of our Post Office locations from Maine to Florida <br />then processed and deposited into your checking account. <br /> <br />Retail lockbox workflow consists of the following primary processes: <br />1. Mail Receipt – Collection of work from the designated post office box. This process <br />will be supported using both internal and external couriers providing transportation <br />services (e.g. mail retrieval and delivery. <br /> <br />2. Data Prep – The mail will be opened, sorted, and prepped for image capture as per <br />the City's defined processing instructions. <br /> <br />3. Image Capture – the City's transactions will be captured on high speed image capture <br />devices.
