Be The Light Decor | RFP 26-04-01 — Citywide Holiday Lighting & Decorating Services <br />Page 22 of 55 <br />• FDOT permits and MOT compliance will be obtained for work within FDOT rights-of-way at the <br />North City Entrance, William Lehman Causeway, and South City Entrance (Addendum 3, Q29). <br /> <br />7.3 Installation Sequencing <br />Installation is phased to deliver a complete citywide program by 5:00 PM on November 16, 2026, with <br />all elements programmed on timers to be lit by 5:30 PM nightly (RFP §3.1). <br />• Materials, hardware, fasteners, and decorations are pre-staged at our warehouse and labeled by <br />Sunny Isles installation zone. <br />• Installation phasing by corridor and asset type to minimize lane closures and pedestrian <br />disruption. <br />• Trunk-only palm wrapping on Collins Avenue Medjool and Royal palms — 6 strands per Medjool, <br />8 strands per Royal — using a consistent 40-light strand spec for uniform appearance <br />(Addendum 3, Q19). <br />• Trunk and frond palm wrapping at Heritage Park, Samson Park, The Spot, and Government <br />Center palms per Group 2 specifications. <br />• Pole-mounted décor on the 161 A1A poles (22' standard height per Addendum 3, Q14) and <br />Sunny Isles Boulevard poles; banded pole wrap methodology to maintain color uniformity along <br />each run. <br />• Oak tree wrapping (trunk and canopy) at Gateway Park — 15 strands per tree, uniform density <br />across 22 trees, plus 8 date palms. <br />• All entrance monuments and Gateway Park features installed per the approved design. <br />• Electrical cabling routed neatly, using outdoor-rated extension cords (minimum 14-gauge, <br />grounded — RFP §3.5). Cords secured, concealed where practicable, and managed to prevent <br />tripping hazards (RFP §3.1). <br />• All lifts and equipment supplied by the Contractor and operated by certified personnel. <br /> <br />7.4 Maintenance Plan — During the Holiday Lighting Season <br />• 24-hour, 7-day primary and secondary point of contact during the Holiday Lighting Season (RFP <br />§3.1). <br />• On-site response within 8 hours of City notification (RFP §3.1) — well within the 24/7 <br />emergency stand-by structure described in RFP §3.11 (2-hour technician availability for repair <br />and restoration). <br />• Weekly proactive inspection drives covering every installation zone; outages are detected by our <br />team before public reporting wherever possible. <br />• All lights and decorations functioning by 5:00 PM each day during the Holiday Lighting Season <br />(RFP §3.1). <br />• Ongoing repair and replacement of any defective or damaged lights or decorations at no <br />additional cost to the City (RFP §3.1). <br />• Reporting procedure: outages may be reported to the dedicated Project Manager by phone, <br />text, or email, or to our 24/7 service line. A confirmation receipt and ticket number are issued <br />within 60 minutes.
