Proactive Management of Potential Delays <br />CAP's approach is based on early identification and proactive resolution of schedule risks. The Project Manager will <br />continuously evaluate factors that could affect timely completion, including incomplete information, unforeseen existing <br />conditions, coordination requirements, permitting issues, third-party responses, scope changes, staffing requirements, <br />and revisions resulting from Client comments. <br />When a potential delay is identified, CAP will not wait until the scheduled completion date approaches to address it. The <br />Project Manager will evaluate the issue immediately, determine its potential impact, develop corrective measures, and <br />communicate significant schedule concerns to the City's Project Manager as soon as practical. <br />If necessary, CAP will revise the internal work plan, increase staffing, resequence activities, or implement other <br />appropriate measures to maintain the established completion date. <br />Final Deliverable and Closeout <br />As the project approaches completion, the Project Manager will verify that all required deliverables have been <br />completed and that outstanding comments, coordination items, and quality control issues have been addressed. CAP <br />will allow sufficient time for final document review, production, and transmission so that the final submission is delivered <br />on or before the date established by the City. <br />Following delivery, CAP will confirm receipt of the final deliverables and address any immediate questions or corrections <br />identified by the City. Project records, calculations, correspondence, and other required documentation will be organized <br />and maintained in accordance with CAP's project management and quality control procedures. <br />Commitment to Schedule Performance <br />CAP's work plan is built around a simple principle: establish the schedule early, assign responsibility clearly, monitor <br />progress continuously, and address potential problems before they affect the City's deadline. <br />Through dedicated project management, appropriate resource allocation, milestone tracking, internal coordination, <br />quality control, and proactive communication with the City, CAP will make every reasonable effort to ensure that each <br />assignment is completed on time and in accordance with the City's requirements. <br />CAP's Project Manager will maintain overall responsibility for schedule performance and will serve as the primary point <br />of accountability for ensuring that the project team remains focused on the established objectives, milestones, and <br />completion dates.
