Progress Monitoring and Schedule Control
Throughout the assignment, CAP's Project Manager will monitor actual progress against the established project
schedule. Internal coordination meetings and progress reviews will be conducted as appropriate to evaluate completed
work, outstanding tasks, upcoming milestones, staffing requirements, and potential schedule constraints.
CAP will use a proactive approach to schedule management. If an activity begins to fall behind schedule, the Project
Manager will immediately evaluate the cause and determine the appropriate corrective action. Depending on the
circumstances, corrective measures may include reallocating personnel, increasing staff resources, adjusting work
sequencing, accelerating internal reviews, increasing coordination with outside parties, or prioritizing critical-path
activities.

Quality Control Without Compromising Schedule
CAP recognizes that meeting a deadline should never come at the expense of engineering quality. Accordingly, quality
assurance and quality control activities will be incorporated directly into the project schedule rather than treated as an
afterthought.
Prior to each major submission, CAP will conduct appropriate technical and interdisciplinary reviews to verify that
calculations, plans, specifications, reports, and other deliverables are complete, coordinated, and consistent with the
project requirements. Adequate time will be incorporated into the schedule for these reviews and for correcting identified
deficiencies before documents are transmitted to the City.
This approach allows CAP to maintain both schedule compliance and the quality of the final deliverable.
Client Coordination and Timely Decision-Making
C.A.P. Engineering, Inc. (CAP) recognizes that consistent and timely communication with the City of Sunny Isles Beach
is essential to maintaining project momentum and successfully meeting established schedules. Throughout each
assignment, CAP will maintain regular communication with the City's designated Project Manager and appropriate City
staff to ensure that project objectives, priorities, expectations, and upcoming deadlines remain clearly understood by all
parties. Communication will be tailored to the needs of each assignment and may include progress meetings, telephone
conferences, email correspondence, status updates, and coordination meetings as appropriate. CAP's Project Manager
will serve as the primary point of contact and will remain actively engaged in monitoring project progress, coordinating
technical resources, and ensuring that information is communicated efficiently between CAP and the City.
CAP will proactively identify items requiring City input, clarification, review, or approval and will communicate these
needs as early as possible. Requests for information will clearly identify the specific decision or documentation required,
the reason it is needed, the potential effect on the project, and the date by which a response is requested to maintain the
established schedule. Whenever practical, CAP will provide the City with recommendations, supporting information, and
potential alternatives to facilitate efficient decision-making.
RFQ No. 26-07-014.2 - Overall Project Organization
RFQ No. 26-07-01
Q: How will CAP organize its project team, resources, responsibilities, and
coordination to successfully complete assignments for the City?
C.A.P.
