RFQ No. 26-07-014.4 - Work Plan for Meeting Established Deadlines <br />Q: What work plan will CAP implement to ensure each assignment is completed <br />within the deadlines established by the City?RFQ No. 26-07-01 <br />Project Work Plan and Schedule Management Approach <br />Through experienced project management, active schedule monitoring, strategic allocation of personnel, and proactive <br />communication, CAP has the organizational capacity to effectively manage concurrent assignments while remaining <br />responsive to the City of Sunny Isles Beach. CAP understands that municipal engineering programs may involve multiple <br />task orders, varying levels of complexity, competing priorities, and compressed schedules. Our management approach is <br />structured to ensure that each assignment receives appropriate attention and resources while maintaining accountability <br />for established milestones and deliverable dates. The Project Manager will serve as the primary point of accountability for <br />schedule performance and will maintain direct communication with the City's designated Project Manager regarding <br />project status, upcoming milestones, outstanding information, potential risks, and recommended adjustments. This <br />centralized oversight provides the City with a clear point of contact and ensures that schedule-related matters are <br />identified and addressed promptly. <br />Our goal is to serve as a dependable extension of the City of Sunny Isles Beach's project team, providing the technical <br />expertise, responsiveness, and project management support necessary to successfully deliver each task order. CAP will <br />approach each assignment with an understanding of the City's operational needs and will work collaboratively with City <br />staff to establish realistic expectations, maintain project momentum, and address issues efficiently. We understand that <br />the City's ability to make timely decisions and advance projects can depend directly on the consultant's responsiveness <br />and reliability. Accordingly, CAP will remain accessible to City staff, respond promptly to requests, maintain organized <br />project documentation, and provide clear information regarding the status of assignments. This client-focused approach <br />will allow CAP to support the City not only in completing individual engineering tasks, but also in achieving broader project <br />and infrastructure objectives. <br />Structured Work Plan for Each Assignment <br />C.A.P. Engineering, Inc. will implement a structured work plan for each assignment to establish accountability, maintain <br />project momentum, and ensure compliance with the City's established deadlines. Upon receipt of a Notice to Proceed, <br />CAP's Project Manager will review and confirm the scope of services, required deliverables, project schedule, critical <br />milestones, applicable standards, coordination requirements, and expectations with the City's Project Manager. This initial <br />coordination will ensure that CAP and the City begin each assignment with a common understanding of the project <br />objectives and required outcomes. Any questions, missing information, or potential constraints identified during this initial <br />review will be addressed as early as possible so that they do not unnecessarily affect subsequent project activities. <br />Progress Monitoring and Quality Control <br />Technical work will proceed in accordance with the established work plan and schedule, with internal coordination and <br />quality-control activities incorporated throughout the assignment rather than being performed only at the end of the <br />project. The Project Manager will monitor progress against established milestones and will coordinate with technical staff <br />to identify completed activities, outstanding items, upcoming deadlines, and potential constraints. CAP will use internal <br />coordination and QA/QC procedures to verify that deliverables are complete, technically accurate, consistent with the <br />project requirements, and appropriately coordinated among applicable disciplines. This approach helps identify potential <br />errors, omissions, conflicts, or inconsistencies early enough to be corrected without creating unnecessary impacts to the <br />final delivery schedule. <br />C.A.P.
