74IWFLFTLD016838.2026 <br />ARCHITECTURAL AND ENGINEERING CONSULTING SERVICES <br />(CCNA) RFQ # 26-07-01 <br />CONTINUING PROFESSIONAL <br />Work plan explaining meeting the established deadlines <br />PROJECT WORK PLAN <br />A Project Work Plan (PWP) will be developed at the outset of each TWO to establish a clear framework for executing <br />the assignment. The PWP will define the project objectives; scope, schedule, and budget; applicable design standards, <br />performance criteria, or study methodologies; key personnel roles and responsibilities; stakeholder coordination and <br />lines of communication; and quality assurance and quality control procedures. The PWP will be distributed to all project <br />team members so that everyone is working from the same plan, understands their responsibilities, and remains aligned <br />with the City’s expectations throughout the assignment. <br />Potential subconsultants will be managed through formal subcontracts that clearly define their scope, required <br />deliverables, budget, and schedule. The team will be organized so that the appropriate technical experts and specialists <br />are engaged at the right stages of each TWO, allowing issues to be addressed efficiently without unnecessary impacts <br />to schedule or budget. <br />Cesar will work closely with each TWO Project Manager to provide proactive client service and maintain consistent <br />project delivery by: <br /> ĥ Maintaining overall responsibility and control of <br />project delivery <br /> ĥ Managing the flow of information within the <br />project team and between Kimley-Horn, <br />the City, and key stakeholders <br /> ĥ Coordinating and integrating subconsultant <br />team members, when required <br /> ĥ Monitoring adherence to the approved scope, budget, <br />and schedule <br /> ĥ Overseeing quality management and confirming <br />that final deliverables meet Kimley-Horn and <br />City requirements <br />Process for Handling Complaints and Notifying the City’s Project <br />Manager <br />COMPLAINT RESOLUTION AND COMMUNICATION. Kimley-Horn places a high priority on open, responsive <br />communication and the timely resolution of concerns. We understand that under a task work order contract, even <br />relatively minor issues can affect schedule, budget, quality, or the City’s confidence in the project team if they are not <br />addressed quickly and effectively. For that reason, our approach is to identify concerns early, take ownership of them, <br />and work collaboratively with the City to reach a practical resolution before they affect project delivery. <br />As Contract Manager and the City’s single point of contact, Cesar will be readily available to receive and address <br />concerns throughout the contract. Any issue related to a deliverable, team member, subconsultant, technical decision, <br />or day-to-day coordination will be documented, acknowledged promptly, and communicated to the City’s Project <br />Manager as appropriate.
