Each task order may differ in size, complexi- <br />ty, urgency, funding, permitting requirements, and required professional disciplines. <br /> <br />WAD will provide the City with a structured project-management process that can be scaled <br />to fit each assignment. Our approach is founded on six principles: <br /> <br />One primary point of contact for the City <br />Early confirmation of scope, budget, schedule, and responsibilities <br />Appropriate staffing for each individual assignment <br />Continuous architectural and engineering coordination <br />Measurable cost, schedule, and quality controls <br />Prompt communication and resolution of issues <br /> <br />WAD will serve as the prime consultant and remain responsible for the performance of the <br />entire team. Our project manager will coordinate WAD’s architectural personnel and the spe- <br />cialized services provided by TLC Engineering Solutions, KEITH, and Nutting Engineers of <br />Florida. <br /> <br /> <br /> <br />4.2 TASK-ORDER INITIATION & ORGANIZATION <br /> <br />Upon receiving a request from the City, WAD’s project manager will review the assignment <br />and coordinate an initial scope meeting with the City’s project manager. The objective will be <br />to establish a shared understanding of the assignment before the preparation of the task- <br />order proposal. <br /> <br />The initiation process will address: <br /> <br />Project objectives and intended outcomes <br />Existing conditions and available documentation <br />Required architectural and engineering disciplines <br />Stakeholders and facility users <br />Applicable codes and regulatory agencies <br />Required studies, surveys, testing, or investigations <br />Submit <br />accurate, <br />timely, <br />and com- <br />plete doc- <br />Assist the City <br />through <br />bidding, <br />construction, <br />and closeout <br />Integrate <br />every <br />architectural <br />and <br />engineering <br />discipline <br />Develop <br />practical, <br />resilient, <br />and cost- <br />conscious <br />solutions <br />Assign <br />personnel <br />and <br />establish <br />the work <br />plan <br />Confirm <br />scope, <br />budget, <br />schedule, <br />and <br />deliverables <br />Understand <br />the City’s <br />operational <br />needs and <br />priorities <br />57
