APPROAH / METHODOLOGY West Architecture + Design, LLC 820 North 4th Street, Lantana, Florida 33462 Phone: 561-588-2027 / Fax: 561-582-9419 Architecture License: AR93859 / AA26001503 www.west-arch.com 4.1 OUR APPROACH TO PROJECT MANAGEMENT West Architecture + Design, LLC (WAD) understands that the City of Sunny Isles Beach re- quires a responsive and adaptable consultant capable of managing multiple assignments un- der a continuing professional services contract. Each task order may differ in size, complexi- ty, urgency, funding, permitting requirements, and required professional disciplines. WAD will provide the City with a structured project-management process that can be scaled to fit each assignment. Our approach is founded on six principles: One primary point of contact for the City Early confirmation of scope, budget, schedule, and responsibilities Appropriate staffing for each individual assignment Continuous architectural and engineering coordination Measurable cost, schedule, and quality controls Prompt communication and resolution of issues WAD will serve as the prime consultant and remain responsible for the performance of the entire team. Our project manager will coordinate WAD’s architectural personnel and the spe- cialized services provided by TLC Engineering Solutions, KEITH, and Nutting Engineers of Florida. 4.2 TASK-ORDER INITIATION & ORGANIZATION Upon receiving a request from the City, WAD’s project manager will review the assignment and coordinate an initial scope meeting with the City’s project manager. The objective will be to establish a shared understanding of the assignment before the preparation of the task- order proposal. The initiation process will address: Project objectives and intended outcomes Existing conditions and available documentation Required architectural and engineering disciplines Stakeholders and facility users Applicable codes and regulatory agencies Required studies, surveys, testing, or investigations Submit accurate, timely, and com- plete doc- Assist the City through bidding, construction, and closeout Integrate every architectural and engineering discipline Develop practical, resilient, and cost- conscious solutions Assign personnel and establish the work plan Confirm scope, budget, schedule, and deliverables Understand the City’s operational needs and priorities 57
