CGA will work closely with the City staff on the <br /> start-up agenda, site visit itinerary, schedule and review of key contractual issues. These will include <br /> ® schedule, report and invoice formats, and other day-to-day administrative and management issues. CGA <br /> will carry out a project review and update, and identify constraints and project parameters.These tools and <br /> ® procedures will be presented to the City and the Team at the Kick-off meeting. <br /> ® Kick-Off Meeting <br /> CGA will immediately coordinate the kick off meeting with the City and its designated project team. The <br /> ® purpose of the kick off meeting will be to: <br /> •® • Confirm project goals and objectives <br /> • Agree on the project schedule, timing and content of workshops/meetings, recordkeeping <br /> ® standards, and communications with the City, distribution procedures, meeting dates, public <br /> ® notification and preliminary and final submissions <br /> • Collect relevant base information such as plans, studies, reports and any other documents available <br /> ® from the City on the existing parks system, programs and planned expansion/improvement <br /> ® programs. All existing drawings will be provided to CGA for reproduction and the creation of a <br /> • project resource data base <br /> • Establish organizational responsibilities and relationships between and among the City and the <br /> Team <br /> • • Agree upon management tools and procedures, setting standards to be followed for the duration of <br /> ® the project <br /> • Discuss ongoing and/or planned City projects, community issues, and other items that serve to <br /> frame the context of the plan <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> • <br /> 0 <br /> ® RFQ#12-04-02,Planning and Urban Design Page ll 4 <br />
