The Time and Attendance System must allow the MCSJ system to feed <br /> information into the T&A system each pay period, pertaining to Employee records, <br /> Leave accruals, Job or Pay Codes. The system must feedback to MCSJ, each pay <br /> period, all approved Time and Attendance records as approved by both Departmental <br /> Supervision and the Payroll Department. <br /> IntelliTime Response: Yes, we will configure the MCSJ interface to import a file of City <br /> employees that will be managed in IntelliTime. This saves the City from having to <br /> manually maintain this information in IntelliTime. The import can be run at any time and <br /> the system is fully functional while the interface is being run, so it can run more than <br /> once a day if desired if many HR changes are being made for example. A report runs to <br /> show new employees that show up in the import, so the IntelliTime administrator can <br /> assign them a schedule for example. <br /> The import can also bring in cost accounting structures such as grants or project codes <br /> that can be used to charge time. An interface keeps these key systems synchronized <br /> with minimal administrative effort. <br /> At pay period end, or whenever desired, the export interface will create a file of <br /> approved and fully edited time and leave transactions for processing by MCSJ that <br /> 111 <br /> matches your export file layout specifications. <br /> 3.3.3. The Time and Attendance System MUST provide a detailed audit trail whereby <br /> Finance / Payroll management and Audit staff may track attendance records and <br /> changes related to any individual or group timekeeping records. <br /> IntelliTime Response: Yes, our system has a full audit trail of all changes made to time <br /> documents or schedules, including the time/date stamp, the original value, the new <br /> value, and the person who made the change. <br /> 3.3.4. The Time and Attendance System must provide multiple levels of supervisory <br /> approval with a workflow based oversight of groups and sub-groups within our <br /> organization. It is preferred that the supervisor be required to approve each employee's <br /> time entry individually, not approve time entry without individual review. <br /> IntelliTime Response: Yes, our system has highly configurable workflow approvals, <br /> with up to 32 approval levels supported on a single timesheet, leave request, etc. At <br /> each approval level, the system records the digital "signature" of the signer and the <br /> date/time stamp at the bottom of the document, so Reviewers can see the approval <br /> status at a glance.
