IntelliTime Systems Corporation
Section 3:3 Scope of Work — Narrative Responses
The default system behavior is for Supervisors and other approvers to be required to
review and approve each timesheet, leave request, etc. individually. `Mass"approval
functionality can also optionally be configured for higher level Roles such as Payroll
Clerks if desired; it is very flexible.
3.3.5. The Time and Attendance System must provide user based security to control
access to specific departments, groups, and levels of specific employee and
departmental information.
IntelliTime Response: Yes. The IntelliTime System uses configurable security based
on user Roles (User, Supervisor, Payroll Clerk, etc.) and Ranges (typically based on the
City's budget structure). Roles control access to specific system functions and/or
modules, while Ranges control what employee data a user has permission to access.
So for example a Police Supervisor would only have access to Supervisor-level system
areas and functions, and would only be able to access Police employee data.
3.3.6. The Time and Attendance System must allow employees and supervisors to
enter multiple pay or job codes during the work day. The pay or job codes must have a
relation to the same job codes in the City's MCSJ system. Preference will be given to a
® system which can do so without remapping or cross referencing codes.
® IntelliTime Response: Yes, our system is technically capable of supporting an
unlimited number of pay codes as well as override accounting codes such as job codes,
grant codes, project codes, or any City-defined category. IntelliTime has especially
robust cost accounting features, with up to five configurable override accounting fields
directly on the employee timesheet and robust reporting features for analyze time by job
code or other cost accounting categories. We can import all eligible job codes from the
MCSJ system without remapping the codes, using our standard built-in bi-directional
interface tool. We can also associate pay rates with each job code, and can configure
system rules to correctly calculate blended overtime for employees based the rates for
each position they worked. Other complex pay rules easily handled in IntelliTime without
any customization include call-in minimums, shift differentials, comp payouts, stipends,
these are not a limitation.
3.3.7. The Time and Attendance System must provide for scheduling employees on
multiple shifts with pay differentials or premiums.
IntelliTime Response: Yes, first we support an unlimited number of employee
schedules of any pattern: variable days on/off, variable start/stop times, cross-midnight
shifts, cross-pay period shifts, variable locations with our "Tours" feature, any pattern
length before the schedule repeats, and more.
410
Copyright 2016, IntelliTime Systems Corporation Page 3 of 6
5/10/2016
