The Honorable City Commission
October 11,2005
with the other systems. Laserfiche is a proven product with over 21,000 installations worldwide.
R&S Integrated, which Laserfiche recommended as the preferred local reseller of their product,
has an excellent track record and has completed over 100 system installations including the cities
of Miami, Boynton Beach, Wellington, and Kissimmee. Site visits conducted by Sunny Isles
Beach staff to two locations indicated that current users had a high level of satisfaction, both
with the Laserfiche product and with the customer service and responsiveness of R&S
Integrated.
It is estimated that the integration of the Laserfiche system will take place over the course of two
years, and will include the Building, City Clerk, Finance, and Police Departments. It is
estimated that the total cost for implementing Laserfiche in all four departments would be
roughly $600,000. This total includes software, hardware, and professional services. The
greatest part of this estimated cost (roughly 78%) is tied up in the conversion of existing records
from hard copy to an electronic format, which requires each document to be scanned and
manually checked for quality. Once the backfile of records is converted to electronic format,
however, City staff will scan records into the system from that time forward and it will no longer
be necessary to pay the per-document scanning charge. Yearly maintenance charges will be
roughly $18,000 once the system is fully implemented.
Laecrfiche Document Imaging Agenda Memo
