<br />The School District of Lee County, Florida - RFP # 6211 <br />Document Imaging System <br /> <br />August 5, 2004 <br /> <br />2.0 EXECUTIVE SUMMARY <br /> <br />The School District of Lee County, Florida (SDLC) is requesting proposals In response to the Request for <br />Proposal #6211 entitled 'Document Imaging System for The School District of Lee County, Florida', with a <br />closing date of August 6, 2004 This proposal document represents the R&S Integrated Products and <br />Services, Inc (R&S Integrated) response to the RFP document R&S Integrated will provide a comprehensive <br />Integrated Document Imaging and Management System (DIMS) that meets the requirements of SOLe's RFP <br /> <br />In general, the presented OMIS will provide the following key areas of functionality, at a minimum, <br />. Scanning of all required paper documents <br />Import capabilities for all electronic documents and/or files <br />· Management of scanned/imported and indexed images and/or electronic files <br />· Automated workflow and/or audit trail information for tracking document movement and routing <br />. Full text Indexing availability for images and electronic files <br />· Template index field searches <br />. Word and phrase searches throughout Image and electronic files <br />. Advanced 'fuzzy' logic, proximity, and compound 800lean (AND, OR, NOT, etc.) logiC searches <br />. Integration with existing data sources and systems, including SOLC's legacy Student records system <br />· Allows for easy upgrades and system configuration <br />· Economic propagation of the solution to additional applications and/or departments <br /> <br />Solution Overview <br /> <br />R&S' understanding of SOLC's objective of the proposed R&S DIMS solution IS to migrate the management <br />and archival of the various SOLC departments' paper and related electronic records management <br />requirements to an image-based process SDLC has requested recommendations for a turn-key approach <br />that will achieve a number of key goals while minimizing risk and maximizing cost-effectiveness Each <br />component of the project IS deSigned to automate, Integrate, or eliminate an additional element of the current <br />manual documenl management process, thereby further Improving the effiCiency of the work process <br />throughout the SDLC enterprise. <br /> <br />Additionally, the system Will improve the efficiency and effectiveness of document processing and <br />management, including but not limited to: capture, distribution, retrieval. retention, archival, disaster recovery, <br />and Integration with eXisting systems, The proposed system will eliminate paper or manual process whenever <br />possible, accomplish increased staff productivity, and give SOLC cost reductions in storage space, records <br />search, copying, manual routing of documents, reduction of lost records, and elimination of paper filing, <br /> <br />Ad hoc workflow (routing, location, and distribution) can be accomplished with the proposed solution through <br />the use of SDLC's eXisting e-mail application; however, automated workflow with automated distribution, <br />routing, advancedaudit trails, and event nolification can be accomplished uSing the optional LaserFiche <br />'WorkFlow SUite' <br /> <br />R&S Integrated Products and Services, Inc. <br /> <br />Page 13 <br /> <br />~B <br />
