I

The MCCi system is a fully-customizable web-based agenda management package that will enable
us to produce professional hardcopy and/or electronic agendas that are easier to access and navigate
through. MCCi has submitted a proposal in the amount of Twenty-Two Thousand One Hundred
Twenty Dollars ($22,120.00).

The Granicus system enables us to broadcast full agenda packets over the web, providing remote
access to elected officials, staff, and the public. The MinutesMaker module enables the City Clerk to
record motions, votes, roll call, and speaker notes electronically, so that every agenda item is
automatically linked in the audio/video recording of the meeting. Granicus has submitted a proposal
in the amount of Nineteen Thousand Three Hundred Ninety-Seven and Fifty Cents ($19,397.50) for
the system and related services.

ADDITIONAL INFORMATION:

Additionally, the MCCi agreement carries an annual software support fee in the amount of One
Thousand Six Hundred Thirty Dollars ($1,630.00). The Granicus agreement carries a monthly
managed services fee in the amount of Nine Hundred Fifty Four Dollars ($954.00), with two month
free services for purchase orders received before September 30, 2008.

Further, MCCi anticipates parallel testing of the new and old system one hundred ten (110) days after
receipt of a purchase order, which in our case means that testing should begin with the February 2009
Commission meeting.

On a related note, Granicus IS one of the largest providers of webcasting services for local
governments.

Funds will be transferred from various line items within the Office of the City Clerk and will
thereafter be available in Account No. ] 0-516-551 ] for this purchase.

MCCi and Granicus will give a short presentation of the desired products.

Cover Memo MCCi and Granicus Automated Agenda & Hosting Services
