<br />~ <br /> <br />Ltf2 CITY OF SUNNY ISLES BEACH ~O~Og <br /> <br />Proiect Manaaement <br /> <br />The key to the success of this contract hinges on the Project Manager. As the Project Manager, Mr. Hekmat will <br />deliver a successful project to the City on each and every task work order by: <br />· Committing highly competent and experienced professionals to projects and providing them with the <br />necessary resources to assure success. <br />· Utilizing project management tools such as Primavera and Deltek Vision to assure projects are on time and <br />on budget. <br />· Continuous communication with the City's Project Manager to ensure expectations are being met and <br />information is being delivered between parties. <br />· Taking a proactive approach that emphasizes the early resolution of project issues and a philosophy focused <br />on providing value added services. <br />Our Project Management Approach is to establish the project requirements; set the basis <br />for controlling scope, schedule, and budget of the project tasks; and describe the principal <br />responsibilities and authority of the project participants. At Bee we understand the <br />necessity of successfully completing project goals within the predetermined schedule and <br />work program budget. Bee will develop a set of contract documents that will be <br />functional, cost effective, biddable and maintainable. We will use a "hands-on" Project <br />Management approach to effectively complete the contract. Our streamlined production <br />oriented team, along with state of the art resources allows us to complete project assignments on record time with <br />a high level of technical proficiency and professional quality. Upon receipt of a request for services, Bee will <br />schedule a meeting with the City's Project Manager to discuss the proposed scope of services and will schedule a <br />field visit to fine tune the scope of services. The initial field review will include video taping/pictures of existing <br />conditions to help define project issues and deficiencies. After the field meeting, the Bee Project Manager will <br />coordinate with the City's Project Manager to finalize the scope. Described below is a set of management activities <br />that we will deploy to manage work orders assigned to Bee under this contract. <br /> <br />Proiect Kick-Off Meetinq <br /> <br />We will begin with a kick-off meeting to identify the key project issues, team participants, <br />discuss project purpose and goals, define team member roles and responsibilities, and <br />identify expectations. The planning and scheduling of the kick-off meeting will be <br />coordinated through the City of Sunny Isles Beach Project Manager. <br /> <br />Proiect Reportinq <br /> <br />Bee will distribute meeting minutes within 3 working days of the conclusion of any meeting. Action items resulting <br />from the meeting will be identified, including a responsible individual for the action and a date when the action is to <br />be completed. Action items will be entered into a tracking database and will be reviewed by the Project Manager on <br />a weekly basis. <br />Monthly status reports will include cost and schedule updates, variance analyses, recommended corrective actions, <br />and updated forecast. The status report will also include an executive summary with narratives regarding the <br />accomplishment for the month, projected activities for the following month, and identification of issues along with <br />suggested approaches and resolutions. <br /> <br />Project Schedule <br /> <br />The Bee Team will develop and present a project schedule as part of any proposal to the City and with input from <br />the City's Project Manager, further detail the schedule and develop logical and achievable tasks. Throughout the <br />project we will continuously review and update the schedule. <br /> <br />Staff Availabilitv <br /> <br />Bee Team member's current workload ensures that we have the resources to effectively carry out assignments <br />under the General Engineering Services contract.
