<br />o <br /> <br />. Reporting <br />Various production and other operational reports will be supplied to the City throughout the course of the recovery. For <br />instance, daily production reports will be submitted to the City by close of business each day and weekly summary <br />reports of aggregate daily data will be submitted at each week end. The various reports will contain, at a minimum, the <br />following information: <br /> <br />I. Contractor's Name/Report Date. <br />2. Location of completed work, of work for next day. <br />3. Equipment/Personnel Certification data. <br />4. Daily and cumulative hours for each piece of <br />equipment and crew (Emergency Clearance/Other). <br />5. List of roads that were cleared (Emergency <br />Clearance/ROW multi-passes). <br />6. Number of crews/personnel (including number of <br />trucks and loading equipment). <br />7. Types and numbers of equipment assets used. <br />8. Daily and cumulative totals of debris removed, by <br />category and type. <br />9. Daily and cumulative totals of debris processed, to <br /> <br />include methodes) of processing and disposal <br />location(s). <br />10. Daily estimate of hazardous waste debris <br />segregated, and cumulative amount of hazardous <br />waste placed in the designated holding area. <br />11. Number of hazardous trees, hanging limbs, stumps <br />removed. <br />12. FEMA, FHW A and other work segregated. <br />13. Right-of-entry tracking/completion (as applicable). <br />14. Problems encountered or anticipated. <br />15. Safety/Quality Control deficiencies (damage) <br />16. Safety/Quality Control training, certifications. <br /> <br />We will submit additional reports (and work summaries) to the City as we deem useful, or as may be requested. All <br />reports will be supplied in electronic format, and they may be customized to meet ad hoc purposes. More detailed <br />information regarding our procedures for documenting and reporting is presented in Section 6d. <br /> <br />For the purposes of federal audit (or other) requirements, we will maintain all logs, reports, records, truck certifications, <br />debris load tickets, and Agreement correspondence in both hard copy and digital scan for a period of not less than three <br />(3) years. <br /> <br />o <br /> <br />. Sectoring, Multiple Passes & Closeout <br />AshBritt will prepare, as needed, or review and revise existing collection zone/area maps of the affected area. Crew <br />assignments to zones will be made in coordination with the City, prioritizing severely damaged, heavy debris volume <br />areas. <br /> <br />AshBritt is able to offer the GIS tracking of debris collection progress via digital layering map applications. This <br />greatly enhances the efficiency of field operations. Basically, through coordination with City representatives, City <br />debris monitoring company, our QA/QC field personnel, our subcontractors, and our DIMS tracking data, we are able to <br />update jurisdiction zone street maps to track the progression of debris collection passes. We make this data readily <br />available to City representatives. <br /> <br />Multiple passes, the process in brief <br /> <br />Generally, three coordinated and carefully managed collection passes through each zone is sufficient to remove all <br />event-generated debris from the right-of-ways, but Ash Britt forces will make additional passes as necessary to complete <br />the cleanup. To the greatest extent practicable, we will fully and thoroughly clean areas upon each successive pass, not <br />leaving any debris behind which may delay or snag production efforts. <br /> <br />The only debris that may be unattended would be debris requiring special handling, such as hazardous materials or <br />stumps or trees. These may require specialized crews different from those used for general ROW collection. These <br />crews, however, will follow the same methodology of "clean as you go" with respects to their specialized tasks. <br /> <br />This methodology of debris collection affords residents and local agencies ample time to coordinate and arrange for <br />ensuing debris placement onto City right-of-ways. Daily reports, both GIS and manual, can be furnished to the City <br />indicating each zone's headway status, including numbers of working crews, debris removal progress, and listings of <br />closed-out streets. <br /> <br />o <br /> <br />City representatives will closely inspect each zone after the third (or final) complete pass, and will certify the zone as <br />"all clear" of debris. Any deficiencies noted by the OM will be resolved immediately, using remaining working zone <br />crews or our "hot spot" crews. <br /> <br />AshBritt. Inc. I Sunny Isles Beach.
