<br />. Coordinate all rental needs (tents, tables, chairs and etc) <br />. Coordinate food & beverage needs for VIP and public <br />. Coordinate ticket booth / sales and event entrances <br />. Provide qualified stage managers, production & technical assistants. <br />. Coordinate talent hospitality and technical riders. <br />. Liaison with entertainer agent or manager for sound checks, performance arrival time <br />and general instructions. <br />. Build and coordinate the physical site (ie: once CSIB & SIBRA approves the elements, the <br />management company will be responsible for coordinating the building and coordination <br />of the venues) <br />. Liaison with all equipment vendors needed at the site <br />. Coordinate and develop load-in/strike schedules for the event <br />. Develop soft cost personnel budget <br />. Design electrical plan for event needs (ie: generators, distribution and etc) <br />. Coordinate communication plans for the event (ie; radios) <br />. Determine sanitation plan and arrange all maintenance and event cleanup <br />. Coordinate any security needs <br />. Arrange and coordinate any advance shipments of materials to venue <br />. Install on site event signage (including booth sponsors) <br />. Execute and coordinate sponsor benefits as committed <br />. Schedule & coordinate rehearsals, sound checks and green room <br />. Provide post event review meeting <br /> <br />3.5 EVENT BUDGETING <br /> <br />As part of the management company's response the company shall submit an event budget <br />including the following items; <br /> <br />. National Entertainment for Saturday night performances <br />. Local Bands <br />. Sound, Stage and Lights <br />. Sponsor & Concession Tents <br />. Private Secu rity <br />. Miscellaneous <br />. Radios I Communication equipment <br />. Management Fee <br />. Site decor <br />. VIP Area <br />. Local Band and National band Riders <br /> <br />This itemized budget shall be submitted as part of the management companies' response to this <br />RFQ. The pricing submitted shall be considered as a "Not to Exceed Price". For all aspects <br />described in Section 3.4 above <br /> <br />3.6 EVENT DEMOGRAPHICS <br /> <br />The venue for the main event is a 4 acre park. Attendance is estimated @ 2,000 with <br />approximately 100 VIP's. The event is targeted to attract Jazz enthusiasts. <br /> <br />3.7 PAYMENTS <br /> <br />3.7.1 SERVICE PROVIDERS.
