SGM Engineering, Inc. <br />City of Sunny Isles Beach RFP No. 12-04-02 <br />Continuing Professional Architectural & Engineering Services <br />Firms Only (CCNA) <br />Section 2 - Qualifications <br /> <br /> <br />For individual projects, we can develop and maintain a Critical Path Method project schedule utilizing Microsoft <br />Project or other graphical programs. More than merely a tool to manage progress to contract completion dates, we <br />will establish a master project schedule that encompasses all design development, and construction document <br />preparation. This master schedule serves to establish a work plan for accomplishing period and systematic reviews <br />as design progresses and to ensure significant quality control requirements are accommodated. <br /> <br />As design development reaches completion, quality control activities identified through the integrated design review <br />process are then entered into the schedule where they become identifiable as discreet required activiti es. <br /> <br />A detailed delivery plan (Work Plan) will comprise: <br /> Fee expenditure cash flow <br /> Project resource plan <br /> Work schedule identify key dates and objectives <br /> Documentation for each stage <br /> Signoffs required & milestone dates for approvals by the City of Sunny Isles Beach <br /> Schedule of information required <br /> Statutory agency reviews and submissions <br /> Meeting schedule(s) <br /> <br />Developing Schedules <br />The schedules were developed based upon the project deadline from the client. SGM managed to provide <br />adequate resources to meet each step of the design process. The schedule was updated on a weekly basis. The <br />PM had weekly meetings to discuss the design completion schedule and other requirements to meet the deadline & <br />its construction budget. <br /> <br />Scheduling Challenges <br />The staff is experienced and has adequate resources to meet the deadlines and stay within construction budget. <br />Specific challenges in scheduling may include project phasing, scheduling so construction is during a certain time of <br />the year (i.e. Remodeling a dormitory during the summer, when less students are at the campus), or scheduling <br />construction at night so an office building can remain occupied during the day. Weekly meetings were scheduled <br />with PM, engineers & designers to make sure that the deadline & the construct ion budget was met. Then, regular <br />meetings were set up with the owner to make sure that all the items, guidelines and other issues relating to the <br />project had been implemented. <br />Team Communication <br />SGM has established Communication procedures to maintain a c ritical flow of project information. In order for our <br />personnel to stay connected to their assigned tasks and their co -workers as required, we have ensured that our <br />staff is equipped with the most up to date communications technology. <br /> <br />As with most corporations, we use Microsoft Office Applications such as Outlook, to communicate quickly and <br />effectively. We propose to facilitate the use of an FTP site for fast transmittal to secure oversized files. Additionally, <br />SGM‟s team will utilize a video and phone conference software called GoToMeetings. This will allow our team to <br />visually review documents and hold meetings from any part of the country. <br /> <br />The majority of the Project Delivery team and certain corporate staff members also stay connected through th e use <br />of synchronized “Smartphones” that allow instant access to emails, documents and calendar events. Users are <br />also provided Broadband and available VPN connections for access to the internet, Team intranet and shared <br />drives as necessary. <br /> <br />Response Time and Communication <br />Our staff is readily available for an emergency site visit, telephone and video conferencing and email <br />communication. Additionally, City staff has ability to be in continual communication with SGM‟s lead personnel and <br />project managers to obtain a prompt response to questions and concerns 24 hours a day through the use of smart <br />phones equipped with email access and ability to upload and edit documents. <br /> <br />
